Overview

Under the direction of the Executive Director of School-Age Childcare and in accordance with the mission, policies, and principles of the YMCA of Central New Mexico, the School Age Program Coordinator provides operational leadership and management for an assigned portfolio of school-age childcare programs, including Before & After School Programs, School Break Programs, Day Camps, Teen Programs, and future school-age initiatives as assigned.

The Program Coordinator directly supervises Site Coordinators and is accountable for consistent program quality, licensing and regulatory compliance, staffing, enrollment, fiscal performance, risk management, family experience, and operational execution across assigned locations. Site Coordinators are responsible for the day-to-day operation of their individual sites; the Program Coordinator provides direction, coaching, resources, oversight, and accountability to ensure those sites meet YMCA and organizational expectations.

This position translates Association and department strategy into effective site-level operations, develops strong frontline leaders, strengthens systems and consistency across programs, and identifies opportunities to improve quality, enrollment, and sustainable program growth.

Responsibilities

Operational Leadership & Supervision

  • Provide operational oversight for assigned school-year and seasonal program locations, ensuring consistent execution of YMCA standards, department expectations, and approved operating procedures.
  • Directly supervise, coach, develop, and evaluate Site Coordinators; establish clear expectations and hold them accountable for the performance of their assigned locations.
  • Conduct regular site visits, observations, and operational reviews to assess quality, safety, staffing, family experience, cleanliness, documentation, and overall program effectiveness.
  • Ensure Site Coordinators maintain appropriate staffing schedules, participant-to-staff ratios, program supplies, site readiness, and day-to-day operating systems.
  • Identify and resolve operational concerns promptly; elevate matters involving significant safety, compliance, employee relations, financial, or reputational risk to the Executive Director.

Program Quality, Safety & Compliance

  • Ensure all assigned programs meet and maintain applicable YMCA standards, New Mexico childcare licensing requirements, school or partner agreements, grant requirements, safety procedures, and other regulatory requirements.
  • Monitor required records, rosters, attendance, training documentation, incident reports, licensing files, and other program records for accuracy, completeness, and timely submission.
  • Lead implementation and ongoing maintenance of the New Mexico FOCUS quality improvement program for assigned sites, with the goal of increasing and sustaining program star levels.
  • Support consistent implementation of age-appropriate curriculum, enrichment, character development, youth engagement, and social-emotional learning practices across assigned programs.
  • Follow and enforce YMCA policies and procedures related to medical situations, discipline, child abuse prevention, emergency response, transportation, and risk management.

Staffing & Leadership Development

  • Partner with the Executive Director and Human Resources to recruit, interview, select, onboard, and retain qualified Site Coordinators and program staff for assigned locations.
  • Develop Site Coordinators as effective site leaders through coaching, mentoring, performance feedback, training, and structured accountability.
  • Ensure required staff certifications and trainings remain current and that Site Coordinators maintain accurate personnel and training records for their teams.
  • Support succession planning and build a pipeline of qualified staff capable of assuming increased leadership responsibilities.

Enrollment, Family Experience & Community Relationships

  • Monitor enrollment, attendance, retention, waitlists, and program capacity across assigned locations and implement strategies to maximize participation while maintaining quality and safety.
  • Support Site Coordinators in providing responsive, professional communication and excellent service to participants and families; assist with escalated family concerns as needed.
  • Develop and maintain effective working relationships with school administrators, community partners, families, and YMCA departments.
  • Represent the YMCA professionally at school, community, partner, and Association meetings as assigned.
