This position is 100% on‑site located at SPA’s Corporate Headquarters in Alexandria, VA.
The Executive Assistant shall provide high‑level confidential administrative support to the Chief Legal Officer (CLO) and Chief Information Officer (CIO), managing day‑to‑day administrative affairs and ensuring efficient front‑office operations.
- Manage extremely active calendars for the CLO and CIO.
- Complete expense reports.
- Compose, edit, and prepare correspondence.
- Arrange complex and detailed travel plans, itineraries, and agendas, and compile documents for travel‑related meetings.
- Plan, coordinate, and ensure schedules are followed while proactively prioritizing conflicting demands.
- Communicate directly on behalf of the CLO and CIO with executives, high‑profile clients, partners, and stakeholders.
- Keep the CLO and CIO well informed of upcoming commitments and responsibilities, and follow up appropriately.
- Represent the CLO and CIO by welcoming visitors, reviewing correspondence, and arranging corporate functions.
- Draft acknowledgment letters, personal correspondence, staff communications, and other administrative documents.
- Manage and track a diverse portfolio of sensitive documentation across both offices, including NDAs, corporate contracts, legal filings, vendor agreements, software licenses, IT governance policies, and cybersecurity compliance artifacts.
- Coordinate scheduling, agendas, and actions for senior and executive management meetings.
- 5–10 years supporting C‑level executives.
- Strong organizational skills with the ability to prioritize multiple tasks and maintain excellent attention to detail.
- Very strong interpersonal skills, able to build relationships with stakeholders, clients, leadership, and employees.
- Expert written and verbal communication skills.
- Professional appearance and demeanor.
- Proven ability to handle confidential information with discretion and adapt to competing demands in a fast‑paced environment.
- Accessible during off‑hours as required.
- Proficient in Microsoft Office (Outlook, Teams, Word, Excel, PowerPoint, Project, Visio), Smartsheet, and Adobe Acrobat.
- Must be a U.S. Citizen due to contract requirements and the nature of the information handled.
