Position: FLEET SPECIALIST I

Fleet Specialist I

The incumbent's primary responsibility is to provide administrative and operational support to the organization's Fleet Management team. This includes assisting in various aspects of fleet operations, such as vehicle maintenance coordination, data management, reporting, and administrative tasks. Attention to detail, organizational skills, and the ability to work effectively in a team environment will contribute to the smooth operation of the fleet.

Opportunity

  • Assist in coordinating vehicle maintenance, repairs, and inspections as a backup to the Fleet Specialist III.
  • Supporting the daily operation, maintenance, and management of the City Motor Pool;
  • Ensures vehicles are safe, properly maintained, fueled, inspected, and available for customer use;
  • Maintains records, coordinates repairs, and assists with vehicle assignments and inventory control;
  • Schedule service appointments with external vendors or internal maintenance staff.
  • Track and monitor vehicle maintenance records, ensuring accuracy and completeness.
  • Collect, enter, and maintain accurate and up-to-date data related to fleet operations, such as vehicle information, mileage records, and maintenance history.
  • Assist in generating regular reports on fleet utilization, fuel consumption, maintenance costs, and other key performance indicators (KPIs).
  • Analyze data and assist in identifying trends, anomalies, or areas for improvement.
  • Contribute to the development and implementation of data management systems and tools.
  • Provide general administrative support to the Fleet Management team, including filing, document management, and record keeping.
  • Assist in maintaining accurate records of vehicle registrations, insurance policies, and other legal documentation.
  • Assist in preparing and processing paperwork related to vehicle acquisitions, disposals, and transfers.
  • Support the coordination of driver training programs, workshops, or meetings as required.
  • Ensure compliance with internal policies and regulatory requirements related to fleet management, including vehicle inspections, licensing, and emissions testing.
  • Assist in maintaining and updating fleet policies, procedures, and guidelines.
  • Support safety programs.
  • Assist in coordinating with external vendors and suppliers for vehicle procurement, maintenance services, fuel card management, and other fleet-related services as needed.
  • Communicate with vendors to obtain quotes, place orders, track deliveries, and resolve issues or concerns as needed.
  • Maintain vendor relationships and provide feedback on service quality and performance.
  • Collaborate with other team members and departments to support overall fleet management objectives.
  • Contribute to a positive and collaborative team environment by sharing knowledge and best practices.

Minimum

& Additional Requirements

Ideal Candidate

To qualify for this position all candidates must possess a High School Diploma or GED or completion of vocational/trade school with courses in automotive technology, including English and arithmetic. One (1) year of work experience in the automotive industry supporting maintenance, repair, or fleet operations; or any equivalent combination of experience and training that provides the required knowledge, skills, and abilities.

Proficiency in Microsoft Office software, such as spreadsheets and databases, with the ability to manage warranty-related documentation.

Additional Requirements:

  • Possession of a valid driver's license issued by the state of residence and a safe/good driving record
