Position Overview

We are seeking a detail-oriented and customer-focused Conference Coordinator to support the planning and execution of conferences, meetings, and events. This administrative role will serve as a key point of contact for exhibitors, attendees, and vendors, ensuring a seamless experience through exceptional customer service, communication, and logistical coordination.

The ideal candidate is highly organized, proactive, and comfortable managing multiple priorities in a fast-paced environment while maintaining a professional and positive attitude.

Key Responsibilities
  • Serve as the primary point of contact for exhibitors, answering questions and providing timely support before, during, and after events.
  • Coordinate conference logistics, including exhibitor registration, materials, schedules, and event communications.
  • Maintain exhibitor databases, records, and event documentation with a high level of accuracy.
  • Assist with planning and execution of conferences, trade shows, meetings, and special events.
  • Coordinate with vendors, venues, and internal stakeholders to ensure event requirements are met.
  • Respond to attendee and exhibitor inquiries while delivering outstanding customer service.
  • Prepare event materials, reports, signage, badges, and conference packets as needed.
  • Track deadlines and ensure all event-related tasks are completed on schedule.
  • Support on-site conference operations, including exhibitor check-in, setup, troubleshooting, and attendee assistance.
  • Assist with post-event follow-up activities, evaluations, and reporting.
Qualifications
  • 2+ years of administrative, event coordination, conference support, customer service, or related experience.
  • Strong organizational and multitasking skills with exceptional attention to detail.
  • Excellent verbal and written communication skills.
  • Ability to manage multiple projects and deadlines in a fast-paced environment.
  • Proficiency in Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
  • Professional, customer-focused approach when interacting with exhibitors, attendees, and stakeholders.
  • Ability to work independently and collaboratively as part of a team.
  • Previous conference, trade show, association, or event planning experience is preferred.
