Summary

The Specialist, Event Engagement supports the planning, coordination, and execution of engaging attendee experiences across a variety of organizational events, ranging from executive gatherings to large-scale conferences and expos reaching up to 26,000 attendees. This role contributes to event branding, attendee engagement, event environments, vendor coordination, and live production to help deliver cohesive and memorable experiences. The Specialist manages defined event projects and work streams from initial planning through onsite execution, coordinating with internal stakeholders, external vendors, and event partners to ensure successful delivery.

This role requires a creative, highly organized, and solutions-oriented event professional who can manage multiple priorities, translate concepts into effective event experiences, and contribute to a consistent attendee journey across event environments and live programming.

Responsibilities Event Branding and Design
  • Support the development and implementation of event branding across printed, digital, environmental, and onsite assets.
  • Own the event signage plan for assigned events, partnering with Event Logistics to coordinate signage needs, placement, messaging, visual consistency, and production.
  • Source and coordinate entertainment, décor, and other specialty vendors that enhance the event environment and attendee experience.
  • Bring fresh ideas and event trends forward to help strengthen attendee engagement and onsite experiences.
Production
  • Support Main Stage production by developing and maintaining run-of-show, master script, rehearsal, and production documents.
  • Coordinate the development of on-screen graphics, animations, and other visual content for programming stages.
  • Support onsite stage operations, including green room management, speaker movement, rehearsal and technical-check schedules, and show calling as assigned.
Internal Partnerships
  • Partner cross-functionally with SHRM teams and internal business units to bring their priorities, programs, and brands to life within assigned events.
  • Support the development and execution of onsite experiences for internal partners, including activations, programming, signage, meetings, and special events.
  • Manage assigned project timelines, deliverables, and budgets, working with internal stakeholders and vendors to keep plans on track.
External Partnerships
  • Coordinate with external vendors to manage deliverables, deadlines, production details, and onsite execution.

Education & Experience Requirements Education
  • Bachelor’s degree in Business, Marketing, Communications, Hospitality, Public Relations or related field preferred or relevant equivalent experience in lieu of degree.
Experience
  • Three (3) or more years of related experience in a similar work environment and role, preferably with a PR/marketing/event agency or in-house for medium to large brand(s).

Knowledge, Skills & Abilities
  • Familiar with corporate events and/or city-wide conferences and expos.
  • Demonstrated ability to build relationships both internally and externally.
  • Strong project management skills and history of success.
  • Solid written and verbal communication skills with ability to clearly articulate a story or idea to internal or external audiences.
