Friends of Guest House ((Use the "Apply for this Job" box below).) is a transitional program that supports women who are returning to the community after incarceration for non‑violent offenses. Friends of Guest House provides a safe, caring, healing environment for women in recovery from trauma, addictions, challenged family systems, and mood disorders. We serve 30 women in our Residential Program at a time and each woman is invited to participate in the program for 6 months and spend another 6‑9 months in our Aftercare Program with stepped down case management support.

The goal of the women in the program is to re‑enter the community, reunite with their families, and address barriers to achieving their goals.

Women who complete the Residential to Aftercare Program continuum at Friends of Guest House have a recidivism rate of 15%. Come join a dedicated team and make a difference in a woman’s life each and every hour.

Job Description:

Part‑Time Accountant

Position Title: Accountant

Reports to: Executive Director

Employment Status: Part‑Time, Non‑Exempt

Hours: Approximately 15–20 hours per week

Compensation: $35.00 per hour

Position Summary

The Accountant at Friends of Guest House will manage the day‑to‑day financial operations of the organization, ensuring accurate recordkeeping, timely reporting, and compliance with nonprofit accounting standards. This position supports the Executive Director and plays a vital role in the financial health and sustainability of the organization. The ideal candidate will bring nonprofit accounting experience, strong attention to detail, and a commitment to the mission of reintegrating formerly incarcerated women into society.

Key Responsibilities
  • Maintain accurate and up‑to‑date financial records using Quick Books Online.
  • Process accounts payable and accounts receivable, including invoices and vendor payments.
  • Reconcile bank and credit card statements on a monthly basis.
  • Record and categorize all financial transactions in accordance with nonprofit fund accounting standards.
  • Maintain and reconcile the general ledger.
Payroll Processing
  • Process semi‑monthly payroll in coordination with the Executive Director.
  • Ensure accurate payroll tax withholding, deductions, and benefit contributions.
  • Coordinate with payroll platform (Paycom) and maintain related records.
  • Prepare monthly financial reports for the Executive Director, including income statements, balance sheets, and cash flow statements.
  • Provide budget‑to‑actual reports by program and funding source.
  • Support preparation of financial materials for board and Finance Committee meetings.
Grant & Contract Financial Compliance
  • Track expenditures by grant and funding stream to ensure compliance with grant budgets and restrictions.
  • Prepare reimbursement reports and financial documentation required under grant and contract agreements (including VADOC and other government contracts).
  • Assist with preparation of financial schedules for funder reporting.
Audit & Tax Preparation Support
  • Assist the Executive Director in preparing for the annual financial audit, including organizing supporting documentation and audit schedules.
  • Support preparation and filing of the annual Form 990.
  • Maintain organized financial files, both digital and physical, in accordance with recordkeeping policies.
Budgeting Support
  • Assist the Executive Director in the annual budget development process.
  • Track and monitor budget performance throughout the fiscal year.
  • Prepare budget projections and variance analyses as requested.
Procurement & Contracts
  • Process and maintain vendor contracts and ensure timely renewal.
  • Issue and track 1099s as required at year‑end.
  • Assist with procurement of goods and services in accordance with organizational policies.
Qualifications

Required

  • Bachelor’s degree in Accounting, Finance, or a related field; or equivalent professional experience.
  • Minimum of 3 years of bookkeeping or accounting experience, preferably in a nonprofit setting.
  • Proficiency in Quick Books Online and
  • Working knowledge of nonprofit fund accounting principles.
  • Strong proficiency in Microsoft Excel and the Microsoft Office Suite.
  • High level of accuracy and attention to detail.
