Position: Executive Assistant - Office of the President & CEO

Volunteers of America (VOA) is a faith-based, nationwide nonprofit organization dedicated to helping those in need rebuild their lives and reach their full potential. VOA is currently seeking an Executive Assistant in support of the Office of the President & CEO within VOA's National Office. The person in this role will be the chief integrator and strategic scheduler for the President/CEO’s calendar—with full responsibility for aligning time, attention and presence to the organization’s mission, strategic priorities and external influence. The selected candidate will ensure the President/CEO’s agenda over a 12-month horizon is coherent, forward-looking and resilient to unfolding events, all while stewarding the President/CEO’s energy and focus for what truly matters;

shaping expectations around communication, limits administrative burdens and strengthens high-trust relationships that enable effective leadership across VOA and its affiliates.

This position will be based in VOA's National Office in Alexandria, Virginia

Primary Responsibilities

CEO Calendar Ownership & Strategic Time Stewardship
  • Designs and manages the President/CEO’s calendar as an instrument of strategic leadership. Ensures time allocation reflects organizational imperatives, emerging priorities and balanced engagement with internal, affiliate and external stakeholders
  • Anticipates competing demands and integrates the President/CEO’s multiple spheres of influence—mission, leadership, partnerships and policy—into a coherent use of time
  • Establishes clear norms for communication, discerning which matters warrant immediate President/CEO attention versus those that can be handled or delegated. Guides the organization in understanding what constitutes “urgent” or “important”
  • Prepares and briefs the President/CEO for all engagements, ensuring context, purpose and desired outcomes are defined and met
  • Monitors and refines the cadence of President/CEO meetings, retreats and public appearances to advance annual priorities and long-term goals
Prioritization, Planning and Decision Support
  • Leads the rolling 12-month President/CEO agenda-setting process, ensuring that time, focus and organizational energy align with VOA’s strategic direction and faith-driven mission
  • Continuously evaluates and recalibrates priorities as circumstances evolve, balancing proactive leadership with responsiveness to current challenges
  • Conducts research, gathers critical intelligence and performs analysis to support timely, well-informed President/CEO decisions
  • Anticipates potential problems or opportunities, coordinating with senior leaders to ensure the President/CEO operates multiple steps ahead
Relationship and Boundary Management
  • Serves as a strategic bridge between the President/CEO, senior leadership, board and affiliates, maintaining clarity on what requires President/CEO attention versus what can be managed operationally
  • Strengthens mutual trust between the President/CEO and direct reports to improve collaboration, speed of agreement and the quality of leadership decisions
  • Reduces President/CEO involvement in routine administration such as travel, expenses and meeting logistics, allowing focus on strategic influence and organizational positioning
  • Builds and sustains social capital inside and outside VOA, helping the President/CEO leverage relationships that support sustainability, innovation and thought leadership
Strategic and Operational Alignment
  • Ensures calendar decisions reinforce a unified VOA strategy—integrating national and affiliate perspectives while minimizing fragmentation
