Title: Program Coordinator
OverviewServe as a vital member of Kaleidoscope ABA’s mission to deliver therapeutic services to children with autism as the Program Coordinator. Manage day-to-day program operations, staff and service scheduling, recruitment, customer service, reporting, and administrative tasks to support growth and quality care.
Responsibilities- Assess new referral service needs based on established criteria.
- Confirm insurance eligibility for children.
- Coordinate therapeutic services, including intake packet collection, schedule management, and liaison with clinical and recruiting teams.
- Maintain key deadlines for each case.
- Collaborate with the clinical team to monitor service effectiveness and reassess needs.
- Document all care coordination and case management activities in the electronic health record.
- Hold initial contact meetings with clients and parents, followed by weekly follow-ups.
- Establish and maintain coordination with all relevant parties.
- Work collaboratively with the clinical treatment team (BCBA, LBS, BHT) to ensure services are coordinated.
- Coordinate weekly service schedules of assigned providers.
- Support collection and verification of weekly service hours and documentation for billing.
- Medical, Dental, and Vision Insurance through United Healthcare.
- Paid Time‑Off (Vacation, Sick, and 8 Paid Holidays).
- Long‑Term Disability and Life Insurance.
- 401(k) with a 6% match and a two‑year vesting schedule.
- Weekly payroll each Thursday.
Critical competencies for successful performance include high ethical standards, integrity, courteous communication, and the ability to handle change productively.
Education- Bachelor’s Degree or equivalent work experience.
- Preferred:
Bachelor’s in Marketing, Business Administration, or Healthcare Management.
- Five years of management in a professional environment, preferably in medical or behavioral health practice operations.
- Experience in building and retaining customers.
- Five to seven years managing and developing staff (preferred).
- Prior Practice Managers and Retail Managers encouraged to apply.
- Strong rapport‑building and staff management skills.
- Sense of urgency and ability to work independently toward goals.
- Excellent time management, organization, prioritization, and deadline management.
- Attention to detail and consistency in administering processes across the center.
- Superb communication and listening skills; professional appearance required.
- Proficient in Microsoft Office (Word, Excel, PowerPoint) and email/Outlook.
- Ability to keep accurate records, work in the database, and track processes in Excel.
- Exposure to constant or intermittent sounds; occasional stress due to meeting service requirements.
- Hours:
7:30 a.m.–5:00 p.m.; may vary with recruitment projects and may be adjusted based on company needs. - Full‑time duties are essential; email and calls may be required outside of typical hours.
