Mail Services Manager

JOB GOAL:
The Mail Services Representative is responsible for the accurate and timely processing, distribution, and handling of incoming and outgoing mail and packages. This role supports daily operations by ensuring efficient mail flow, maintaining records, and providing reliable customer service to internal staff and external partners. The position requires strong attention to detail, organization, and the ability to manage multiple tasks in a fast-paced environment.

MINIMUM QUALIFICATIONS:

  • High School Diploma or equivalent required.
  • Minimum of one years of relevant professional experience
  • Must possess excellent communication and interpersonal skills
  • Child Abuse Clearance;
    Pennsylvania State Police Criminal Record Check and Federal Bureau of Investigation (FBI) Clearance

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Receive, sort, and distribute incoming mail, packages, and deliveries
  • Prepare and process outgoing mail, including postage, metering, labeling, and postal service distribution
  • Ensure timely delivery of mail to appropriate departments or individuals
  • Ensure compliance with US Postal Service regulations and company procedures
  • Maintain accurate records of mailroom activity, postage usage, shipping costs, and department specific monthly reporting
  • Coordinate with carriers to manage shipments and resolve any issues
  • Assist in the preparation and distribution of bulk mailings, special deliveries, and confidential documents
  • Operate mailroom equipment such as postage meters, scanners, and sorting equipment
  • Maintain and troubleshoot basic mailroom equipment issues
  • Monitor and replenish mailroom supplies (envelopes, labels, postage, etc.)
  • Assist with document handling, copying, and distribution projects as needed.
  • Support special projects, including large mailings or organizational communications.
  • Maintain a clean, organized, and secure mailroom environment.
  • Requirement to work on-site five days per week and on inclement weather days
  • Fosters a positive work culture that encourages collaboration, creativity, and accountability
  • Demonstrated professional behavior, including discretion, good judgment and integrity
  • Comply with internal processes and procedures
  • Work collaboratively with others in a diverse and inclusive environment
  • Perform any additional duties deemed necessary by the Mail Services Manager and Facilities Operations Manager-Project Manager
