Overview
The Marketing Coordinator plays a critical role in enabling the efficiency, coordination, and execution of marketing and communications initiatives across the organization. Reporting directly to the CMCO, this role supports project management, cross-functional communication, vendor and contract administration, and day-to-day marketing operations. The position also includes light executive assistant duties to support leadership effectiveness. This is a highly organized, detail-oriented role ideal for someone who thrives at the intersection of marketing, operations, and coordination.
ResponsibilitiesMarketing Operations & Project Coordination
- Help align workflows to ensure processes, calendars, and ways of working remain synchronized across the marketing and communications team.
- Enable and support cross-functional communication at key project milestones.
- Manage marketing-related project trackers, timelines, and deliverables.
- Maintain clear documentation, checklists, calendars, and procedures for marketing and communications initiatives, including integrations and project kickoffs.
- Assist the marketing team with logistics, coordination, and communications as needed.
- Sample fulfillment process and system management
- Prepare reports and presentations as needed.
- Support special projects as assigned.
Calendar, Scheduling & Logistics
- Manage logistics for trade shows, including attendee registration and related communications.
- Manage the marketing team calendar, including scheduling meetings, conference calls, and travel.
- Coordinate onboarding and training logistics for new marketing team members.
Vendor, Contract & Financial Administration
- Set up and manage vendors, including contract administration and relationship coordination.
- Create purchase orders (POs), audit invoices, and process payments in coordination with finance.
- Manage online store operations, including item selection, ordering, inventory thresholds, and vendor relationships.
Brand & Asset Management
- Maintain and organize branded collateral and assets for general company and sales team use.
- Manage the Brand Toolkit to ensure assets are current, organized, accessible, aligned with brand standards and communicated effectively.
- Actively ensure logo usage is correct and consistent, providing guidance as needed, including site signage and asset coordination.
- Assist with site signage and brand asset coordination;
Maintain and update the list of company Subject Matter Experts (SMEs).
Communication & Systems Management
- Maintain marketing email boxes, ensuring requests are routed to the appropriate team members.
- Manage and update the Marketing SharePoint site and the Marketing section of the company intranet.
- Research marketing platforms and tools as needed
Administrative Support
- Support the CMCO with light scheduling, task and travel coordination as well as assisting with preparation, follow-ups, and organization to ensure smooth daily operations.
- Bachelor's degree in marketing, business administration, communications or related field
- 2-3 years of experience supporting teams in a marketing/communications role
- Highly proficient in Microsoft Suite; proficiency in Adobe Creative Cloud and Salesforce preferred
- Strong organizational and project management skills with exceptional attention to detail.
- Ability to manage multiple priorities and deadlines in a fast-paced environment.
- Excellent written and verbal communication skills.
- Experience coordinating across teams and departments.
- Comfort working with calendars, documentation systems, SharePoint/intranet tools, and basic financial processes (POs, invoices).
- Proactive, adaptable, and service-oriented mindset.
- Marketing projects stay on track, are well-documented, and clearly communicated.
- Calendars, workflows, and stakeholders remain aligned.
- Vendors, contracts, and invoices are managed accurately and efficiently.
- Brand assets and internal marketing resources are correct, organized, available, and easy to access.
- The CMCO and marketing team are supported with reliable coordination and operational excellence.
