As the Executive Assistant, you will provide support to the senior executive team, acting with little supervision and anticipating needs while managing the day‑to‑day workflow and prioritizing various projects, which include scheduling: contract management: preparing materials for meetings: and participating in a wide range of special projects.

  • Schedules and manages the calendar for multiple executives, including day‑to‑day and long‑term management of meetings, projects, and priorities.
  • Assists Sales and Support teams with compiling information and uploading contract and legal documents for execution.
  • Assists in analyzing, developing, maintaining, and managing sales and support reports.
  • Helps create, assemble and coordinate PowerPoint or beautiful.ai presentations as necessary for leadership meetings, etc.
  • Acts as the point of contact between the executives and internal/external client contacts and triages internal and external requests and inquiries on behalf of executives with promptness, accuracy and courtesy.
  • Handles phone, email, and other inquiries and responds appropriately.
  • Drafts and edits correspondence, articles, and reports, producing well‑thought‑out, professional communications free of grammatical and spelling errors.
  • Supports and partners on the coordination and management of town halls, employee events, meetings, and strategic projects, collaborating with executives and staff to ensure timelines and deliverables are met.
  • Prepares and coordinates meeting agendas and communications where required to include meeting dictation and minutes.
  • Supports coordination of executive travel to industry‑related trade shows and client visits.
  • Collaborates with other executive assistants within the parent and operating companies on campus‑wide functions and communication.
