ROLE SUMMARY
We are seeking a highly organized, discreet, and proactive Paralegal to support legal and corporate administration across multiple affiliated entities. This is an executive-facing role working daily with the Chief of Staff and Executive team to keep legal matters, entity records, and contract workflows accurate, organized, and moving forward efficiently.
KEY RESPONSIBILITIES
• Executive-facing legal coordination: intake requests, clarify needs, drive next steps, and provide status updates
• Corporate governance/entity management: maintain records (LLCs/corporations/partnerships), consents/resolutions, minute books, entity charts
• Entity lifecycle + recurring filings: support formations/amendments/dissolutions and track deadlines (annual reports, renewals, registered agent items)
• Contracts/legal ops: intake, document prep, version control, routing, redline tracking, signature coordination, executed agreement storage
• Matter management/outside counsel: gather background, prepare matter summaries, track deliverables, organize final work product
• Compliance/records: support secure document handling, retention organization, and legal holds as needed
• Special projects: assist on legal/admin projects tied to real estate, insurance, investments, or vendor relationships as needed
QUALIFICATIONS
Required:
• Paralegal certificate and/or equivalent relevant experience (law firm, in-house, family office, or closely held business)
• Strong attention to detail and document organization (version control, naming conventions, audit-ready filing)
• High discretion and sound judgment with confidential information
• Strong written/verbal communication; comfort working directly with senior leadership
• Proficiency with Microsoft Office (Word, Excel, Outlook) and e-signature/document tools
Preferred:
• Experience supporting multiple entities/portfolio companies
• Familiarity with corporate governance, contract administration, and outside counsel coordination
• Experience with contract repositories/CLM tools
• Notary commission (or willingness to obtain), depending on business needs
