About Our Team

The Order Management Group is a central team supporting multiple brands, including ICIS, Cirium, and Bright Mine. The team provides contract quality control, order billing, and fulfillment services, helping ensure customer orders are processed accurately and efficiently.

About the Role

We are seeking a proactive and detail-oriented Sales Order Processing Specialist to join our Order Management Group. This role is responsible for accurately processing customer orders, reviewing contract and order documentation, maintaining quality standards, and supporting internal partners with clear communication and strong service orientation.

In this role, you will use internal systems to process orders submitted by the sales team, review contract details, validate order information against Salesforce records, and support fulfillment activities such as setting up client profiles and sending login information. This role is based in Houston with a hybrid work arrangement requiring at least two days per week in the office, typically Wednesdays and Thursdays.

The expected schedule is normal business hours, 8:00 AM to 5:00 PM. This is a non-exempt role.

Responsibilities

  • Process sales orders accurately and efficiently within established service level expectations.
  • Manage and prioritize an active order queue to support timely order fulfillment.
  • Review incoming order and contract documentation for completeness, accuracy, and quality.
  • Validate order details against Salesforce records and ensure appropriate alignment before approval and fulfillment.
  • Use internal systems to track, update, and maintain order records.
  • Support order fulfillment activities, including setting up client profiles and distributing login information as needed.
  • Identify, troubleshoot, and resolve order discrepancies or documentation issues using sound judgment and analytical thinking.
  • Collaborate with sales, internal partners, and cross-functional teams while also working independently to complete assigned work.
  • Use Excel and Microsoft Office tools to review order data, organize information, and support reporting needs.
  • Communicate clearly and professionally with internal and external partners.
  • Learn new processes and adapt to changing business priorities, including support for new projects as needed.
  • Perform all other duties as assigned.

Requirements

  • High school diploma or equivalent required.
  • Experience in sales order processing, order management, billing, quality control, documentation review, or a related field preferred.
  • College degree preferred but not required.
  • Working knowledge of  or a similar CRM system.
  • Proficiency with Excel and Microsoft Office applications.
  • Strong attention to detail with a commitment to accuracy, completeness, and quality.
  • Strong written and verbal communication skills with a customer-first mindset.
  • Ability to organize work, manage priorities, and work with minimal supervision.
  • Strong problem-solving skills and ability to identify and resolve discrepancies.
  • Ability to work a normal business-hours schedule, currently 8:00 AM to 5:00 PM.
  • Ability to work from the Houston office at least two days per week, typically Wednesdays and Thursdays.
  • Ability to learn quickly, adapt to change, and support evolving business priorities.
