This position plays a key role in achieving that purpose by delivering exceptional customer service while supporting basic accounts payable functions. The role involves direct and constant customer engagement across multiple channels (phone, email, website, and mail), maintaining accurate customer records, processing payments, and supporting order fulfillment.
Essential Functions- Serve as the first point of contact for customer inquiries via phone, email, and mail, providing timely, accurate, and friendly service.
- Create new customer accounts and update existing records, ensuring data accuracy and proper account coding.
- Provide information and support regarding product offerings, pricing, order status, delivery timelines, invoicing, and payment options.
- Resolve customer issues or disputes with empathy and professionalism, escalating when needed.
- Generate and send correspondence, including letters and renewal notices for donors and subscribers.
- Process and verify customer invoices; apply payments (checks and credit cards); and support reconciliation of account balances in coordination with the finance team.
- Stay current with internal updates related to products, marketing campaigns, delivery schedules, and promotions.
- Collaborate with other departments to ensure seamless customer service and operational support.
- Participate in staff meetings and cross-train with teammates to strengthen departmental flexibility and coverage.
- Willingly complete other duties as assigned.

Skills and Abilities
Education: High School Diploma, Associate’s Degree preferred
Experience:
- Recent experience in customer service or office administrative role (within the past 3 years) required.
- Experience with invoicing, payment processing, or accounting software is a plus.
Skills:
- Strong interpersonal and problem-solving skills
- High attention to detail and organizational abilities
- Proficient in Microsoft Office, multiple CRM’s and comfortable learning internal systems
- Ability to manage multiple tasks in a fast-paced, team-oriented environment
