The Program Coordinator I provides operational and administrative support for customer programs by coordinating routine activities, processing customer transactions, maintaining accurate system data, and supporting day-to-day program execution. Working under the guidance of a Program Coordinator II or Program Manager, this role helps ensure customer requirements are fulfilled accurately and in accordance with company procedures and service level expectations.

The Program Coordinator I partners with Operations, Logistics, Sales, Procurement, Repair Services, and other internal departments to support inventory management, order fulfillment, customer requests, and reporting activities. This position is designed to build foundational knowledge of MDSI systems, customer programs, and supply chain processes while developing the skills necessary for advancement into higher-level program coordination roles. This position does not have supervisory responsibilities.

Duties & Responsibilities
  • Serve as a day-to-day point of contact for routine customer operational requests.
  • Respond to customer inquiries promptly and professionally.
  • Provide Level I customer support by resolving routine issues and escalating more complex matters to a Program Coordinator II or Program Manager.
  • Maintain positive working relationships with customers and internal stakeholders.
  • Support the daily operational activities of assigned customer programs.
  • Process customer orders, transfers, replenishments, repair requests, warranty transactions, and asset movements.
  • Assist in coordinating inbound and outbound inventory activities.
  • Coordinate customer asset shipments using approved freight carriers.
  • Monitor assigned work queues to ensure timely completion of customer requests.
  • Maintain accurate customer and inventory information within company systems.
  • Assist with customer-specific operational tasks and special requests.
  • Maintain customer inventory levels and location information within MDSI systems.
  • Assist with inventory reconciliations and research inventory discrepancies.
  • Process inventory transactions accurately and timely.
  • Support data accuracy across ERP and customer management systems.
  • Escalate inventory concerns requiring additional investigation.
  • Maintain accurate program documentation and customer records.
  • Assist in preparing operational reports and customer deliverables.
  • Support monthly customer billing activities by ensuring required transactions are completed accurately.
  • Perform basic data analysis and reporting using Microsoft Excel and other reporting tools.
  • Maintain organized electronic documentation related to assigned customer accounts.
  • Perform other duties as assigned.

  • Experience with Microsoft Dynamics 365 or similar ERP systems is preferred but not required.
  • Willingness to learn new systems and business processes.
Education & Experience
  • Associate's or Bachelor's degree in Business, Supply Chain, Operations, or a related field preferred; or
  • One (1) to three (3) years of experience in customer service, logistics, supply chain, inventory management, or a related operational role; or
  • An equivalent combination of education and experience.
Physical Requirements
  • Ability to remain stationary for extended periods while working at a computer.
  • Ability to occasionally move or lift up to 20 pounds.
  • Ability to communicate effectively with customers, vendors, and employees in person, by telephone, and through electronic communication.
