As the Operations Manager, you will serve as the key operational leader responsible for overseeing the day-to‑day functioning of one or more clinic locations. You will act as the bridge between clinical teams and administrative leadership, ensuring that workflows, staffing, patient scheduling, facility operations, financial targets, and regulatory compliance all align with the company’s strategic goals. The ideal candidate is operationally strong, people-oriented, and thrives in a fast‑paced clinical environment where both care quality and business performance matter.

Key Responsibilities Operational Leadership & Clinic Efficiency
  • Supervise daily operations including scheduling, patient flow, staff assignments, equipment readiness and facility management to ensure smooth clinic functioning.
  • Monitor key performance indicators (KPIs) such as visit volume, revenue per visit, patient retention, patient satisfaction, and clinic efficiency; analyze performance data and implement action plans for improvement.
  • Develop and implement standard operating procedures (SOPs) to optimize clinical and administrative workflows, support growth, and improve operational agility.
  • Coordinate facility maintenance, vendor relationships, supply inventory, room turnover, billing and reimbursement processes to support seamless patient care.
  • Lead or partner in business growth efforts including new service line implementation, referral development, marketing support, and community outreach to drive clinic expansion.
Team Leadership & Culture
  • Hire, train, coach, and retain high-performing staff including front-desk team, therapy assistants, and administrative support; foster a culture of collaboration, accountability and continuous improvement.
  • Conduct regular team meetings, performance evaluations, and development plans to support professional growth and staff engagement.
  • Ensure compliance with healthcare regulations (e.g., HIPAA, state licensure, OSHA) and company policies by providing training, audits, and corrective actions where needed.
  • Serve as a mentor and operational role model by demonstrating strong leadership, clear communication, and alignment with the organization’s mission of delivering high‑quality therapy care.
  • Handle escalated patient or staff concerns in a timely and empathetic manner, ensuring a positive environment for team members and patients alike.
Qualifications & Skills
  • Bachelor’s degree in Business Administration, Healthcare Administration, Physical Therapy, or related field required;
    Master’s degree or MBA preferred.
  • Minimum of 5 years’ experience in outpatient physical therapy or healthcare operations management, with at least 2 years in a supervisory or leadership role.
  • Strong business acumen, data-driven mindset, and ability to manage budgets, financial reports, staffing models, and operational metrics.
  • Excellent interpersonal, organizational and problem-solving skills; capable of driving results while maintaining a supportive and inclusive team environment.
  • Demonstrated ability to lead and inspire clinical and administrative teams, align multiple stakeholders, and build a positive culture focused on patient experience and operational excellence.
  • Proficiency with clinic management software, EMR/EHR systems, scheduling systems and Microsoft Office (Excel, PowerPoint) for analysis and reporting.
