Service Sales Coordinator
As a Service Sales Coordinator at a Modigent operating company, you will provide administrative and operational support to the Service Sales team. You will ensure proposals, contracts, customer information, and sales processes are completed accurately, efficiently, and on time. This role serves as a key liaison between Sales, Operations, Accounting, and customers, helping drive revenue growth while delivering an exceptional customer experience.
Dutiesand Responsibilities
- Prepare, review, and distribute sales proposals, quotations, and service agreements.
- Process customer contracts, purchase orders, and change orders accurately and promptly.
- Maintain and update customer records within the CRM system.
- Track sales opportunities, contract renewals, and follow-up activities.
- Coordinate with Operations and Dispatch to ensure seamless project execution.
- Monitor contract status and proactively notify the sales team of upcoming renewals and expirations.
- Generate weekly and monthly sales reports, KPI dashboards, and pipeline updates.
- Assist with bid submissions, RFP responses, and supporting documentation.
- Coordinate customer onboarding, vendor setup, and compliance documentation.
- Manage incoming sales inquiries and route them to the appropriate Account Manager.
- Support invoice preparation and assist with collections in coordination with the Accounting Department.
- Schedule customer meetings, presentations, and sales-related events.
- Maintain organized electronic sales files and documentation.
- Assist with marketing materials, presentations, and customer communications.
- Perform additional administrative duties as needed to support the Sales Department.
Supervisory Responsibilities None (individual contributor role).
Requirements/Qualifications
- Experience: 2–5 years of administrative or sales support experience. Experience in commercial HVAC, plumbing, mechanical contracting, construction, or facility services is preferred.
- Education: Associate or bachelor's degree in Business Administration, Marketing, or a related field preferred; equivalent experience considered.
- Physical Demands: Primarily office-based work with prolonged periods of sitting and computer use. Occasional travel for customer meetings, training, or company events may be required.
- Work Environment/Safety: Professional office setting with hybrid options possible. This is not a safety-sensitive position.
Required Skills
- Proficiency with Microsoft Office Suite (especially Excel, Word, and Outlook).
- Experience with CRM platforms such as Salesforce or Build Ops preferred.
- Excellent organizational, time-management, and multitasking skills.
- Strong written and verbal communication abilities.
- High level of accuracy and attention to detail.
- Ability to manage multiple priorities in a fast-paced environment.
- Professional, customer-focused demeanor.
- Familiarity with ERP systems (Jonas, Viewpoint, Sage, or similar) and service contracts/maintenance agreements is a plus.
