Primary Responsibilities

Summary

The Administrative Specialist plays a key role in supporting counseling services, accessibility services, coordinating student appointments for both areas, and promoting mental health and wellness initiatives across campus. This position serves as a primary point of contact for students, faculty, and staff and is essential in cultivating and ensuring a welcoming, responsive, and well-organized office environment whether in person, telephonically, or virtually.

Position is Security Sensitive.

Duties

  • Provide introductory overviews of office services to prospective students and campus visitors. Strictly maintain confidentiality and professionalism when handling sensitive student information. Serve as a primary point of contact for student inquiries and service navigation.
  • Coordinate scheduling of intake and follow-up appointments. Assist in securing documentation needed before and after appointments.
  • Coordinate scheduling of appointments as needed. Prepare and distribute accommodation letters and maintain student accommodation files. Assist in coordinating accessibility services and related documentation processes.
  • Plan, schedule, support, and effectively advertise mental health and student wellness workshops, outreach events, and campus programming. Collaborate with campus and community partners such as the Family Crisis Center of the Big Bend ( FCCBB ) on initiatives such as Sexual Assault Awareness Month and Domestic Violence Awareness Month. Assist with the coordination of events such as Mental Health Awareness Day, Mental Health First Aid trainings, and suicide prevention programming.
  • Monitor and track office supplies/needs, submission and fulfillment of orders, budget expenditures and assist with financial documentation and reporting. Submit and manage facilities requests and work orders as needed. Maintain accurate and confidential electronic and physical filing systems.
  • Track and report service utilization data, including counseling sessions, accessibility services requests, and possible accommodation appointments. Assist in preparing and compiling semester reports for departmental assessment and planning as well as semester summaries.
  • Utilize scheduling systems, shared calendars, and database tools to support daily operations. Maintain proficiency in Microsoft Office, Google Workspace, and Excel for reporting and documentation. Utilize Canva (and/or other creative means) for flyers, presentations, etc. Assist with webpage monitoring and submitting update requests to webmaster as well as following up on those requested changes. Assist with social media interaction as appropriate and upkeep.

Other duties may be assigned to this position on a regular or occasional basis to respond to the needs of the university.
