The OpportunityWe're seeking an Operations & Project Coordinator to serve as the first point of contact for our studio and the steady hand behind the systems that keep it running. This role sits at the front desk and at the center of the firm — equal parts office management and hands-on project coordination — for someone who takes ownership without being asked twice and finds real satisfaction in seeing things through to done.
This person reports directly to the Director of Studio Operations and the Creative Director/Founder, and plays a trusted role in both the daily rhythm of the office and the firm's broader business operations.
The ideal candidate brings a builder's practicality, an organizer's precision, and a self-starter's drive.
Key Responsibilities Front Desk & Office Management- Serve as the welcoming first point of contact for clients, vendors, and visitors at the front desk.
- Manage day-to-day office operations, including supplies, vendor relationships, facilities upkeep, mail, and general studio presentation.
- Support administrative functions such as onboarding, filing, basic bookkeeping support, and firm records.
- Build and maintain systems that keep the studio organized, efficient, and running smoothly day to day.
- Run small construction and firm-related projects from start to finish — scheduling, budget tracking, vendor coordination, and follow-through on every deliverable.
- Partner with project managers and the construction team to track timelines, purchase orders, and outstanding action items.
- Anticipate roadblocks and proactively resolve issues before they become problems.
- Keep projects moving by following up relentlessly with vendors, subcontractors, consultants, and internal team members until tasks are fully closed out.
- Partner directly with the Director of Studio Operations and Creative Director/Founder on firm-wide initiatives and business operations.
- Identify opportunities to improve processes, systems, and workflows across the office and project teams.
- Take ownership of special projects and one-off initiatives as they arise and see them through independently.
- Act as a trusted enabler for leadership — clearing obstacles, managing details, and creating space for others to focus on their highest-value work.
- The office runs smoothly, and clients and visitors feel welcomed from the moment they walk in.
- Small projects and initiatives move forward reliably and on schedule, without needing to be chased.
- Firm leadership trusts you to take an idea and run with it, and knows it will get done.
- The studio feels more organized, efficient, and supported because of the systems you've put in place.
- 5+ years of experience in office management and/or project coordination, ideally within a design, architecture, or construction firm.
- Hands-on experience supporting or running small construction or renovation projects.
- Strong proficiency with Microsoft Office.
- Excellent organizational skills, with the ability to manage multiple priorities and deadlines simultaneously.
- Outstanding written and verbal communication skills.
