Shift

Must be available M-F, 9:00 AM – 5:00 PM, variable work week 5 days/ 40 hours a week. Able to work occasional evenings, weekends & holidays for special events.

Summary

Support the Sales, Catering & Conference Services, and Marketing teams through all stages of the sales and event process—from initial inquiry to post-event follow-up. This role serves as a key administrative and coordination resource, interacting with all resort departments and clients.

Key Responsibilities
  • Provide primary administrative support for the Sales Department; secondary support for Catering, Conference Services, and Marketing teams.
  • Manage high call volumes and respond to general inquiries via phone and email.
  • Qualify incoming leads and direct to the appropriate team member.
  • Maintain accurate records in Amadeus (Salesforce) and prepare weekly/monthly reports for the Associate Director of Sales.
  • Assist with contracts, proposals, group resumes, banquet event orders, invoices, and client communication materials.
  • Coordinate VIP requests, group amenities, reservation forms, and event logistics.
  • Support trade show preparation, off-property errands, and special projects.
  • Perform general clerical duties (typing, filing, scanning, etc.) and maintain office supplies and equipment.
  • Greet and assist guests, conduct site tours, and serve as a liaison between clients and internal teams.
  • Promote resort sustainability initiatives and share the Sundance environmental story.
  • Manage multiple priorities in a fast-paced, team-oriented environment with professionalism and strong communication.
Qualifications
  • Associate's degree or equivalent experience in hospitality or administration.
  • 1–2 years in a related role; hospitality background preferred.
  • Proficient in Microsoft Office (Word, Excel, PowerPoint); 40+ WPM typing speed.
  • Familiarity with Amadeus (Salesforce) and StayNTouch a plus, but not required.
  • Excellent customer service, communication, and multitasking skills.
  • Ability to occasionally lift up to 10 lbs and work in varying physical conditions.
Work Environment

Primarily office-based with occasional exposure to outdoor conditions. Moderate noise levels. Employee is expected to work on site at Sundance Mountain Resort to meet with clients, attend in-person meetings, etc.
