Location: North Alton

The Enrollment Assistant is to provide responsive and student-focused customer service via face-to-face, phone, and email interactions to students and community members. In alignment with the College’s mission to empower students and enrich communities through high-quality learning experiences, this role also supports the Admissions and Records department with general processing. By upholding the College’s core values of service, respect, and integrity, the position contributes to a welcoming and efficient environment that supports access, success, and lifelong learning.

Responsibilities
  • Welcome and provide prospective, new, and returning students with admissions, program, and course information, making referrals as needed to support access and student success in alignment with the College’s mission to empower students and enrich communities.
  • Register students by phone, mail, and over the counter as needed and process priority registrations with accuracy, reflecting the College’s commitment to excellence.
  • Make appointments for advisors to ensure students receive timely academic support.
  • Assist students with the application process contributing to high-quality educational opportunities.
  • Intake of official high school and college transcripts received by our institution.
  • Evaluation of official high school transcripts to help students begin their academic journey with clarity and integrity
  • Enter official ACT/SAT scores when provided
  • Process outgoing transcript requests in accordance with FERPA and 2+2 agreements, upholding confidentiality and institutional integrity while supporting seamless transfer pathways, lifelong learning, and employment endeavors.
  • Process enrollment verification requests to support student needs and external reporting.
  • Assist with mailing, incoming and outgoing, including bulk enrollment mailings, to support communication and outreach.
  • Assist with record audits as needed to maintain the integrity of student records.
  • Update residency coding for out-of-district students in special programs, maintain appropriate documentation, and submit reports to ensure equitable access and compliance.
  • Update addresses and residency for current students as needed.
  • Process Lewis & Clark  for students and team members.
  • Assist with recruitment materials to support outreach efforts and promote inclusive access to education.
  • Assist with department events including but not limited to Discover Days, Commencement, campus tours.
  • Perform additional data entry as requested, contributing to the department’s operational commitment to continuous improvement.
Qualifications
  • High School graduate or equivalent.
  • One year customer service experience with a positive customer service philosophy.
  • Basic Microsoft Office skills including Word, Excel, and Outlook.
  • Data entry experience.
  • Adept at communicating professionally across diverse formats (email, phone, in-person).
  • Initiative to deal with unique situations as they develop.
  • Flexible approach to a fast paced, multi-task work environment.
  • Intermediate to advanced skills in Microsoft Office applications.
  • Demonstrate experience working with Colleague Student.
  • Experience with student services, academic and records support in a college setting.
Additional Requirements
  • In accordance with the Clery Act, this job meets the requirements to be classified as a Campus Security Authority (CSA). A CSA, under the Clery Act, is an individual or organization designated to report crimes to the institution's Clery Act compliance office or to Campus Safety. CSAs are responsible for reporting crimes they witness or that are reported to them in good faith.

    Annual training for all CSAs will be provided by the college.

Team Members can expect to be paid a salary between $34,727 to $45,145; alongside an excellent benefits package. The salary is competitive and commensurate with qualifications and experience, while also considering internal equity.
