Summary:

Perform advanced administrative duties requiring a good working knowledge of CAE’s operations and a detailed knowledge of the TMS and Training Support. Provides overall support to the Site Manager, TMS Lead and TMS department.

Responsibilities
  • Establish uniform correspondence procedures and style practices.
  • Execute procedures for systematic retention, protection, retrieval, transfer, and disposal of records.
  • Coordinate office operations and procedures such as information management, filing systems, supplies, and other administrative services.
  • Compose and prepare correspondence, reports, and other complex documents.
  • Maximize office productivity through proficient use of appropriate software applications.
  • Research and develop resources to create timely and efficient workflow.
  • Provide training support services for students such as training media support and training schedule coordination.
  • Review the TMS download from the LRC, enter TAPR data for student folders, enter critique data (including Instructor, Device, CRM, and Academic Critiques).
  • File student folder data, answer all questions regarding students’ progress, and maintain the transfer of student data between the company and the Air Force.
  • Create and maintain TMS Users’ Guide for all sites.
  • Conduct student FTU in processing briefings and collect/distribute course documentation.
  • When courses start, enter students into TMS, create student training folders, permanent student folders, and device folders, and distribute student rosters.
  • Assemble external critique data (contractual) for each student’s assigned squadron, check each folder to ensure completion (including all TAPRs, AF Form 63’s), document all training times, run itemized student progress reports, and run AF Form 1522 for each graduating student.
  • Archive student files in paper and electronic format.
  • Monthly collate throughput for Altus and all remote sites.
  • Review course syllabi for accurate hour breakdown in student folders.
Qualifications and Education Requirements
  • High School diploma or equivalent; 2‑year degree in an administrative field preferred.
  • 5‑7 years of administrative/secretarial experience, with 3‑5 years at an advanced executive level.
  • Only U.S. citizens are eligible for this role due to U.S. Government contract requirements.
Preferred Skills
  • Proficiency in Microsoft Excel, PowerPoint, Project, and Word.
  • Ability to effectively deliver oral presentations to management and customers.
  • Ability to work independently with minimal supervision.
  • Ability to work overtime as required.
  • Willingness to work any shift or day of the week as required.
  • Understanding of military protocols and customs is essential.
Security Responsibilities
  • Comply with all company security and data protection/usage policies and procedures.
  • Be personally responsible for proper marking and handling of all information and materials, in any form.
  • Do not divulge any information or provide access to employees who do not have a need‑to‑know.
  • Do not divulge information outside the company without management approval.
  • All government and proprietary information will be accessed and stored electronically on company‑provided resources.
  • Incumbent must be eligible for DoD Personal Security Clearance.
Work Environment

Work in a regular office environment; communicate via personal computer, telephone, and fax.

Physical Demands

Domestic and international travel as required. Must be able to walk and/or climb stairs and ladder into a simulator or airplane cockpit. Must be able to detect odors or hear noises, bangs, etc., or other sounds to detect problems or flaws in the surrounding environment.
