Position: FTU TMS Registrar with Security Clearance

Position Overview

Perform advanced administrative duties requiring a good working knowledge of CAE's operations and detailed knowledge of the TMS and Training Support. Provides overall support to the Site Manager, TMS Lead, and TMS department. Position Type:
Regular.

Key Responsibilities
  • Establish uniform correspondence procedures and style practices; execute procedures for systematic retention, protection, retrieval, transfer, and disposal of records.
  • Coordinate office operations and procedures including information management, filing systems, supplies, and other administrative services.
  • Compose and prepare correspondence, reports, and other complex documents.
  • Maximize office productivity through proficient use of appropriate software applications and develop resources that create timely and efficient workflow.
  • Provide training support services for students such as training media support and training schedule coordination.
  • Review the TMS download from the LRC, enter TAPR data for student folders, critique data, and maintain student data transfer between the company and the Air Force; create and maintain a TMS Users’ Guide for all sites.
  • Conduct student FTU processing briefings and collect/distribute course documentation.
  • When courses start, enter students into TMS, create student training folders, device folders, and distribute student rosters.
  • Assemble external critique data for each student’s squadron, verify completion of all TAPR’s, AF Form 63’s, document training times, run itemized student progress reports, and run AF Form 1522 for each graduating student; archive files in paper and electronic format.
  • Monthly collate throughput for Altus and all remote sites.
  • Review course syllabi for accurate hour breakdown in student folders.
Qualifications and Education Requirements
  • High school diploma or equivalent; 2‑year degree in an administrative field preferred.
  • 5–7 years administrative/secretarial experience, with 3–5 years at an advanced executive level.
  • Only U.S. citizens eligible due to U.S. Government contract requirements.
Preferred Skills
  • Proficient in Microsoft Excel, PowerPoint, Project, and Word.
  • Effective oral presentation skills to management and customers.
  • Ability to work independently with minimal supervision.
  • Willingness to work overtime, any shift, or any day of the week as required.
Security Responsibilities
  • Comply with all company security and data protection/usage policies and procedures.
  • Personally responsible for proper marking and handling of all information and materials in any form; do not divulge information to unauthorized employees.
  • All government and proprietary information will be accessed and stored electronically on company‑provided resources.
  • Incumbent must be eligible for a DoD Personal Security Clearance.
  • Only U.S. citizens eligible due to U.S. Government contract requirements.
Work Environment & Physical Demands
  • Work in a regular office environment; communicate via personal computer, telephone, and fax.
  • Domestic and international travel as required.
  • Must be able to walk and/or climb stairs and ladders into a simulator or airplane cockpit.
  • Must detect odors or hear noises, bangs, or other sounds to identify problems or flaws in the surrounding environment.
