Position SummaryThe purpose of this position is to provide clerical, administrative, and judicial services by assisting the judge and Court Administrator by maintaining and processing necessary records. This is accomplished by operating computer systems, processing paperwork, and providing assistance where needed. Other duties may include administering appeals and case dispositions, maintaining trial dockets, attending to complaints, coordinating various reports and requests, and interfacing with other Alvarado city employees and citizens.
This position has no direct supervisory responsibilities.

- Provides exceptional customer service to citizens, internal, and external customers by responding to requests in a positive, timely, effective, and professional manner.
- Greets customers in person and over the phone to answer questions regarding their municipal court business and or other city business, such as frequently asked questions; answers concerns/questions via telephone or written correspondence.
- Administers case dispositions by entering disposition of cases after each docket, processing DSC and deferred dispositions, accepting and posting payments, processing cash bond transactions, preparing requisitions when refunds are due, and showing disbursements correctly.
- Maintains trial dockets by preparing dockets, notifying defendants, attorneys, officers, complainants, and witnesses, preparing and mailing subpoenas, selecting names of prospective jurors, preparing summons, and assisting the prosecutor where needed.
- Assists the judge by receiving payment fines, working up and processing warrants, compiling information for reports, helping individuals over the phone or at the window, and providing information when needed.
- Attends to complaints by entering complaints into the system, preparing complaints, administering oaths, preparing and mailing FTA letters after each plea docket, and clearing FTA's and warrants as necessary.
- Coordinates reports, driving safety course requests, and citations by coding, entering, and filing information, requisitioning for payments, reporting juveniles who fail to appear from each plea docket, notifying parents of juvenile court dates, and reporting those individuals who fail to pay fines.
- Demonstrates the desire to learn, ability to cross-train, and perform other duties within the Municipal Court.
- Serves as a representative of the Court within the community;
Coordinates and conducts community outreach and education, as needed. - Performs other related duties as assigned.
- Must provide high-level customer service for both internal and external customers, striving to exceed customer expectations with each interaction, often requiring a high energy level, excellent communication skills, and the ability to multitask.
- Knowledge of operational characteristics, services, and activities of a municipality and Municipal Court.
- Experienced in the procedures, methods, and operation of modern offices, computers, technology, and other related equipment.
- Ability to read papers, periodicals, journals, manuals, dictionaries, thesauruses, and encyclopedias.
- Ability to effectively handle multiple interruptions, multitask, maintain confidentiality and discretion, follow complex oral instructions, make independent judgments, communicate effectively, and work effectively with various types of people.
- Prepare or provide recommendations to the supervisor on department-related improvements and efficiencies.
- Ability to write reports, prepare business letters, expositions, and summaries with proper format, punctuation, spelling, and grammar, using all parts of speech.
- Exercises empathy, patience, and professionalism when assisting customers, particularly those experiencing stressful or difficult situations.
- Builds and maintains positive, effective relationships with coworkers, customers, outside agencies, and the public.
Education, Training, and
Experience:
- High School Diploma or GED
- Two (2) years of customer service experience is required
- Must be able to type at least 40 WPM
Licenses and
Certifications:
- A valid Texas Driver's License is required and must be maintained throughout employment.
- Possession of, or the ability to obtain and maintain, a Level I Court Clerk Certification within 18 months of employment.
