Accounts Payable / Accounts Receivable Clerk

Shift/Hours: Monday - Friday, 8AM to 5PM

Pay Rate: $18-$24/hr DOE

Location: Alvin, TX

Experience: 2-3 years

Job Summary:

We are seeking a skilled Accounts Payable / Accounts Receivable Clerk to join our client's team in Alvin, TX. The AP/AR Clerk is responsible for the accurate and timely processing of all customer invoices, managing contract setup, and ensuring proper tracking of change orders. This critical role ensures financial integrity and efficient cash flow through meticulous record-keeping and adherence to contract requirements, primarily utilizing Quickbooks accounting software and customer portals.

Key Responsibilities

Accounts Receivable (AR)
  • Process and mail customer invoices daily based on shipping and service logs.
  • Monitor aging reports and conduct soft-touch collections calls or emails to ensure timely payment.
  • Post daily deposits (ACH, checks, and credit cards) and reconcile bank records.
  • Resolve billing discrepancies by working closely with the Inside Sales and Project Management teams.
Accounts Payable (AP)
  • Perform three-way matching (Purchase Order, Receiver, and Invoice) for industrial parts and materials.
  • Code invoices to the correct General Ledger (GL) accounts and departments.
  • Prepare weekly check runs and manage electronic vendor payments.
  • Maintain vendor files, including updated W-9s and insurance certificates.
Qualifications
  • Education: High school diploma required;
    Associate's degree in Accounting or Business preferred.
  • Experience: 1-3 years of experience in bookkeeping, AP, or AR, ideally in an industrial or manufacturing environment.
  • Technical Skills: Proficiency in Microsoft Excel (v-lookups, basic formulas) and experience with ERP software (e.g., Quick Books, Sage, or similar).
  • Character: A firm commitment to accuracy, confidentiality, and the company value of Stewardship-treating the company's resources with the utmost care.
