Job Title:
Accounting Support / Accounts Payable / Administrative Assistant Position Summary
We are seeking a detail-oriented and reliable Accounting Support professional to assist with accounts payable, basic accounting functions, and general administrative tasks. This role is critical to maintaining accurate financial records, ensuring timely vendor payments, and supporting daily office operations.
Key Responsibilities Accounts Payable- Process vendor invoices accurately and in a timely manner
- Match invoices to purchase orders and receipts
- Verify approvals and coding for all invoices
- Schedule and process payments (checks, ACH, credit cards)
- Maintain vendor records and resolve discrepancies
- Respond to vendor inquiries regarding payments
- Assist with data entry into accounting systems
- Reconcile credit card and bank statements
- Support month‑end closing activities
- Maintain organized financial records and documentation
- Prepare reports and assist with audits as needed
- Provide overall office support, including filing, scanning, and document management
- Answer phones and direct calls as needed
- Assist with scheduling, correspondence, and office coordination
- Order office supplies and manage inventory
- Support team members with various administrative tasks
- High school diploma or equivalent (Associate’s or Bachelor’s in Accounting or related field preferred)
- 1–3 years of experience in accounts payable, accounting support, or administrative roles
- Basic understanding of accounting principles
- Proficiency in Microsoft Office (Excel, Word, Outlook)
- Experience with accounting software (e.g., Quick Books, Sage, or similar)
- Strong attention to detail and organizational skills
- Ability to manage multiple tasks and meet deadlines
- Accuracy and attention to detail
- Strong communication and problem‑solving skills
- Time management and prioritization
- Confidentiality and professionalism
- Team‑oriented with a proactive attitude
- Office‑based role with regular interaction with internal staff and vendors
- Standard business hours with occasional flexibility during peak periods (e.g., month‑end)
