Position: Child Nutrition - Allergy & Fixed Asset Coordinator
OPEN UNTIL FILLED

PRIMARY PURPOSE:

Effect the efficient operation of food service routines and practices associated with a busy food service operation and smoothly run office with the accurate recording, reconciliation and reporting of the Chartwell's capital and non-capital fixed assets. Responsible for entering, updating, and maintaining accurate allergy information for all students across the school district. This role ensures compliance with health regulations and supports safe food service and classroom environments by collaborating with school nurses, food service staff, and administrators.

QUALIFICATIONS:

Minimum Education/Other Requirements:

High school diploma or equivalent

Proof of typing >40 WP

Special Knowledge/Skills:

Strong organizational, communication (both oral and written), and interpersonal skills

Accurate typing and ten-key skills, proficiency with computer applications such as spreadsheets and word processing

Ability to prioritize, be flexible and able to adjust easily to changes in daily routine while meeting deadlines

Knowledge of food service practices

Basic knowledge of the procurement process

Basic math and problem solving skills

Excellent reading and grammatical skills

Excellent computer skills including Microsoft Suite

High level of accuracy and attention to fine details

Ability to work together with other employees as part of a team

Work Conditions:

Tools/Equipment Used: Standard office equipment including personal computer and peripherals

Posture: Prolonged sitting; occasional bending/stooping, pushing/pulling, and twisting

Motion: Repetitive hand motions including prolonged keyboarding & use of mouse; occasional reaching

Lifting: Occasional lifting and carrying (less than 50 pounds)

Environment: Work with frequent interruptions; maintain professional demeanor under stress; occasional prolonged or irregular hours; frequent in district travel

Regular attendance is an essential function.

Minimum Experience:

Three or more years in general clerical responsibilities

MAJOR RESPONSIBILITIES AND DUTIES:
  • Collect and verify allergy documentation from parents, guardians, and healthcare providers.
  • Enter and update allergy data in the district's student information system (SIS).
  • Coordinate with school nurses to ensure allergy action plans are current and accessible.
  • Work with food service teams to ensure allergy-safe meal planning and labeling.
  • Monitor compliance with district and state health regulations regarding allergy management.
  • Provide training and support to staff on allergy awareness and emergency protocols.
  • Respond to inquiries from parents, staff, and administrators regarding allergy data.
  • Assist in preparing reports for audits, inspections, and district reviews.
  • Collect reports and documents from school and office personnel for scanning.
  • Scan documents for electronic storage.
  • Manage electronic and physical document storage.
  • Manage document destruction according to the schedule for each type of record and according to federal, state, and local requirements.
  • Manage Child Nutrition asset records, coordinating with Purchasing Department.
  • Update Child Nutrition Department manuals and information, and manage electronic files of these documents.
  • Collect and distribute mail to the Child Nutrition Office personnel; help with weekly/monthly mail outs to schools.
  • Write and distribute memos, letters, reports and other forms of correspondence as requested.
  • Operate a computer system using MS Windows, MS Word, and Excel.
  • Serve as receptionist to the public and professional clientele. Must be able to maintain a helpful, friendly attitude while under extreme pressure.
  • Resolve problems in a timely fashion and consistently keep track of details.
  • Travel to various district facilities.
  • Follow district safety protocols and emergency procedures.
  • Abide by State and Federal laws, District policies, campus expectations and Texas Educator Code of Ethics.
  • Perform such other tasks & assume such other responsibilities as may be assigned.
  • WORKING HOURS PER DAY:

    8 hr day/ 8:00am
    -5:00pm with a 1 hour lunch
