Duties and Responsibilities

- Welcomes and directs visitors and parishioners
- Provide administrative, secretarial, and office support to the Pastor and Parish Staff.
- Answers phone calls and forwards calls accordingly, takes messages.
- Respond to parish emails in a timely fashion.
- Maintain parish calendar, schedule appointments, special events, and meetings.
- Provides information for parish bulletin, parish announcements, and other communications to communications manager.
- Assist with translations when requested
- Participate in parish staff meeting and Diocesan workshops/trainings.
- Maintaining parish memberships and sacramental records;
Preparing Baptismal, Marriage Certificates and Sacramental Records. - Coordinates information for baptisms, funerals, annulments, and weddings.
- Generate routine correspondence, digital and written.
- Monitor and order supplies (office, janitorial, sacramental, etc.)
- Maintain a current list of volunteers to contact for different tasks
- Organize and maintain a filing system for all important parish documentation.
- Assist with the organization of parish and diocesan capital campaigns.
- Perform other duties as assigned
Qualifications
- Be a person who is driven by the Catholic faith and willing to fulfill the vision and mission of this Parish.
- Enjoys working with people. Pleasant and welcoming.
- An ability to work as a team with parish staff members, ministry leaders, and volunteers.
- Understands the importance of confidentiality of church records and conversations.
- Great verbal and written communication skills.
- Bilingual, fluent in Spanish and English, is preferred.
- Have good computer and typing skills. Have knowledge of Microsoft Office applications – Word, Excel,
- PowerPoint, Publisher, and Outlook. Google, Canva and Knowledge of Parish soft is preferred.
- Have minimum of a high school diploma..
- Excellent organizational and filing skills.
- Some secretarial experience. Accounting experience preferred.
- General bookkeeping duties such as; accounts receivable, accounts payable, using parish software.
- Attention to detail and accurate data entry skills.
