This is an exciting time to work for Amarillo College! We are seeking our next Administrative Assistant II - Media, Arts, & Communication who will be all-in on our mission and who provides administrative, operational, and instructional support for the Media, Arts, and Communication Department. This position supports the department chair, faculty, staff, and students by coordinating office operations, budget and personnel processes, scheduling, records management, purchasing, and instructional support activities.
The position requires excellent organizational, communication, and customer service skills, along with the ability to manage multiple priorities in a fast-paced academic environment.
Required: High School Diploma or GED.
Preferred: Associate Degree.
EXPERIENCERequired: Two (2) years of experience in a secretarial, administrative, or clerical environment.
Preferred: Three (3) years of experience in a secretarial, administrative, or clerical environment.
- Provide administrative support to the department chair, faculty, and staff across multiple academic programs.
- Provide excellent customer service by answering telephone calls, responding to inquiries, and directing visitors to appropriate offices and resources.
- Maintain departmental budgets; prepares purchase requests; tracks expenditures; reconciles accounts; monitors available balances; and ensures purchasing activities comply with college procedures.
- Assist with the preparation and maintenance of class schedules, room scheduling, and related departmental records.
- Process faculty and staff documentation, payroll-related paperwork, and other personnel records in accordance with college procedures.
- Coordinate faculty and staff hiring logistics, including interview scheduling, communication with candidates, onboarding documentation, and committee support.
- Assist faculty with textbook orders through the AC Bookstore, recruitment activities, and other departmental support processes.
- Assist with the collection and maintenance of required instructional and departmental documents.
- Assist students with department-specific questions, forms, and referrals to appropriate college offices.
- Coordinate logistics for departmental meetings, advisory committees, guest speakers, recruitment events, student showcases, and other departmental activities.
- Accept and process payments for services and maintains accurate records and receipts.
- Post, file, and reconcile cash payments and related financial documentation.
- Maintain accurate departmental records, files, and confidential information.
- Prepare and process memoranda, correspondence, travel vouchers, reports, and other administrative documents.
- Assist with inventory management, including ordering supplies and maintaining inventory levels.
- Perform administrative support tasks, including proofreading, formatting, and preparing professional correspondence and departmental documents.
- Manage schedules, calendars, and appointments.
- Prepare reports, perform data entry, and maintain accurate databases and records.
- Provide general administrative and instructional support to faculty and staff members, including classroom preparation, instructional materials, academic documentation, and other departmental needs.
- Perform other work-related duties as assigned.

- Experience using enterprise software, databases, and student information systems; experience with Colleague and higher education software is preferred.
