* * SUMMARY
* * This position provides clerical and administrative support for the Facilities Maintenance and Custodial Services departments. Responsibilities include answering phones and responding to emails regarding maintenance requests; creating, assigning, and tracking work orders; performing timekeeping duties for both departments; compiling information and preparing various reports; maintaining personnel and operational files; and creating City employee identification badges with the appropriate level of door security access.

Hours:
** Tuesday through Friday, 7:00 AM to 5:30 PM. Additional overtime may be required as necessary to respond to inclement weather, emergencies, or other departmental needs. This position is designated as weather-essential personnel and may be required to report to work or remain on duty during severe weather and other emergency conditions.
** ESSENTIAL RESPONSIBILITIES
*** Maintains payroll records, timesheets, leave requests, and serves as timekeeper for assigned departments.
* Prepares personnel transaction dockets for salaries, transfers, and terminations.
* Processes purchase requisitions, purchase orders, payment vouchers, and department credit card transactions.
* Assists with budget preparation, monitoring, reporting, and related financial documentation.
* Receives and responds to maintenance requests by phone and email; generates and dispatches work order requests and emergency maintenance calls.
* Creates, updates, and closes work orders in departmental systems, ensuring accurate labor, equipment, vehicle, material, and cost information.
* Maintains employee proximity cards, identification badges, and appropriate building security access.
* Assists with Building Automation System (BAS) programming and maintains key inventory information.
* Maintains departmental files and records in accordance with City records management and Record Destruction guidelines.
* Maintains Safety Data Sheets (SDS) for Facilities Maintenance and Custodial Services.
* Accounts for City property and assists with inventories as required.
* Performs other job-related duties as assigned.

* *** NIMUM REQUIREMENTS
*** High school diploma or equivalent.
* Two (2) years of administrative experience involving frequent public contact.
* Valid Texas Driver’s License.
** KNOWLEDGE, SKILLS, AND ABILITIES
*** Ability to operate standard office equipment, including copiers, multi-line telephone systems, and other office equipment.
* Proficiency in computer operations and Microsoft Office programs, including Word, Excel, PowerPoint, and SharePoint, as well as other Microsoft applications.
* Working knowledge of Workday, Trimble Unity, and e-Builder project management software, or the ability to learn and effectively utilize these systems.
* Proficiency in using computers for data entry, word processing, recordkeeping, timekeeping, reporting, and accounting-related purposes.
* Ability to create, maintain, and retrieve accurate records, files, reports, work orders, and other departmental documentation.
* Ability to learn and effectively use specialized and highly technical computer applications and systems, including Building Automation Systems (BAS).
