Coordinate planning, customer service, process management, programmatic resource development, and external communications to enhance AQHF scholarship program, explore new initiatives, and coordinate communications and resources available to member applicants and recipients.

Responsibilities
  • Serve as contact between the Foundation and members to foster relationships and spread awareness of AQHF Scholarships through varied communications and outreach activities with AQHA/AQHYA members, program donors, universities, and stakeholders.
  • Support the evaluation, development, planning, and implementation of Foundation programs, projects, and initiatives.
  • Coordinate acceptance processes of applications for all Foundation scholarships.
  • Act as data expert and internal point of contact for Grants Management platform by assisting Foundation team with permission sets, application building, and general problem solving.
  • Facilitate assessment, implementation, and maintenance of software and relevant data.
  • Facilitate member relations, as the main point of contact for program inquiries, including scholarship requests, award notifications, and recipient reporting requirements.
  • Coordinate payables for Foundation scholarship programs, including notifications, reminders, data entry, coding invoices, obtaining approvals, and tracking status of scholarship distributions.
  • Coordinate records maintenance protocols for Foundation scholarship program.
  • Consult with Programs Director and team on all aspects of program operations.
  • Coordinate with AQHA departments for scholarship program promotions.
  • Prepare timely, complete reports and other documentation for program advancement and to address the donor accountability requirements of non-profit organizations.
  • Facilitate development of committee, subcommittee, and taskforce activities including meeting support materials, scheduling meetings, training materials, and taking notes.
  • Monitor budgets to evaluate and determine efficiencies that maximize program effectiveness.
  • Provide support for departmental and annual budgeting processes.
  • Promote programmatic and educational resources to members, donors, committees, program applicants and recipients.
  • Assist as needed for museum events including infrequent weekends, evenings, and other non-regular hours as scheduled.
  • Perform other duties as assigned.
Qualifications
  • Bachelor’s degree or equivalent experience.
  • Effective and skilled communicator with both written and verbal communication skills.
  • Problem‑solving with solid deductive reasoning skills.
  • Strong team player with a drive to help others.
  • Outreach and relationship building skills through volunteer coordination or communications is preferred but not required.
  • Proficient in Microsoft Office Suite.
  • Experience working with higher education grant or scholarship management is preferred.
