The job of Administrative Secretary – Nutrition Services is to provide administrative and secretarial support to assigned administrative personnel; coordinate activities of assigned personnel; monitor assigned activities; and provide information, recommendations, or direction as requested by the assigned administrator.

Essential Functions
  • Compile data from a variety of sources (e.g., daily school lunch receipts entries, budget reports, specialized reports, personnel records) to ensure accuracy and compliance with financial, legal, and administrative requirements.
  • Coordinate a variety of projects, functions, and program components (e.g., meetings, in‑service events, travel and accommodations) to complete activities and deliver services in a timely fashion.
  • Maintain a wide variety of manual and electronic documents, files, and records (e.g., website page, budget data, employee records, financial records) to provide up-to-date information and historical reference in accordance with established guidelines and legal requirements.
  • Monitor a variety of activities on behalf of assigned administrators (e.g., hourly food service personnel time for payroll, account balances, work order status) to achieve goals and meet target dates.
  • Oversee the work activities within the office, such as purchase card transactions and petty cash fund, to ensure compliance with established limits and guidelines.
  • Participate in meetings, workshops, and trainings to provide or receive information, record minutes, and support the needs of attendees.
  • Prepare a variety of documents (e.g., bank deposits, temporary eligibility expirations, attendance reports, correspondence, agendas, minutes) to communicate information and create documentation in compliance with established guidelines.
  • Process checks, mail, documents, and materials (e.g., collection agency checks, free and reduced lunch applications, returned checks unpaid within 3 months, timesheets, work orders, requisitions, travel reimbursements, budget transfers) to disseminate information in compliance with administrative guidelines and regulatory requirements.
  • Procure supplies and materials to maintain availability of required items.
  • Reconcile payroll and account balances for assigned budget categories (e.g., monthly bank statement with school lunch reports sent to accounting office and purchase cards) to maintain accurate account balances.
  • Research a variety of topics (e.g., current practices, policies, education codes) to provide information, recommendations, and address administrative requirements.
  • Respond to inquiries from internal and external parties (e.g., staff, parents, students, public agencies) to provide information or direction and facilitate communication among parties.
  • Schedule a variety of activities (e.g., appointments, meetings, travel reservations and accommodations, facility usage) to make necessary arrangements for the assigned administrator.
  • Support assigned administrative personnel (e.g., Coordinators and Director) in administrative functions and responsibilities.
  • Perform other related duties as assigned to ensure efficient and effective functioning of the work unit.
