The Office Assistant II provides clerical and technical administrative support to school site personnel. Responsibilities include establishing and maintaining records, compiling and distributing materials and reports, and responding to inquiries from internal and external stakeholders.
Essential Functions- Administers first aid and prescription medications to students, under the direction of a health care professional.
- Assists with processing of documents, forms, mailings and materials (e.g., attendance, enrollments).
- Assists in developing master schedules to ensure student course and class size requirements are accurate.
- Attends department and/or in-service meetings to convey and gather required information.
- Collects payments for a variety of events (e.g., fines, fees, fundraisers).
- Coordinates assigned projects and/or activities such as material distribution, conference arrangements, travel requirements, and proctoring assessments.
- Distributes materials (e.g., mail, checks, supplies) to ensure delivery to the intended addressee.
- Implements site processes and projects (e.g., discipline issues, subject area assignments, safe space for students, bus coordination) in accordance with established guidelines and legal requirements.
- Maintains a variety of manual and electronic documents, files and records (e.g., System 400, Power School, student transcripts).
- Maintains inventory of supplies and materials to ensure items’ availability.
- Monitors students referred for illness or disciplinary action to ensure student welfare and maintain a secure office environment.
- Prepares correspondence, reports and other materials (e.g., special recognition awards, report cards, class schedules).
- Processes a variety of documents and materials (e.g., schedule changes, student registrations, time sheets, work orders) in compliance with administrative guidelines.
- Researches assigned topics (e.g., student record discrepancies, current policies) to provide information for department operations.
- Responds to inquiries from internal and external parties (e.g., parents, district staff, other schools, government agencies).
- Reviews release of students to authorized parents/guardians to ensure safety during activity release.
- Schedules activities (e.g., appointments for counselors and administrators, meetings, travel reservations) to support assigned administrators.
- Verifies student-related data (e.g., grades, coursework) to ensure record accuracy.
- Performs other related duties as assigned to ensure efficient functioning of the work unit.
