The job of Office Assistant is performed to provide clerical and administrative support to assigned school site personnel; perform functions specific to site administrator assignments (e.g., career/college specialty); communicate information to staff and the public; implement necessary functions; keep complete and accurate records; and provide information and direction as requested.
Essential Functions- Answer telephone calls for the purpose of screening, transferring, responding to inquiries, and/or taking messages.
- Assist with processing documents, forms, mailings and materials for the purpose of disseminating information to appropriate parties.
- Attend department and/or in-service meetings for the purpose of gathering information required to perform functions.
- Collect payments for events (e.g., fines, fees, fund raisers) for the purpose of completing transactions and securing funds.
- Distribute materials (e.g., mail, checks, supplies, messages) for the purpose of ensuring delivery to the addressee.
- Implement processes and projects (e.g., college and career procedures; site projects) for the purpose of ensuring site activities and processes are carried out.
- Implement site processes (e.g., discipline issues; subject area assignments; safe space for students; bus coordination; substitute teachers) for the purpose of providing up-to-date information and/or historical reference in accordance with guidelines and legal requirements.
- Maintain inventory of supplies and materials for the purpose of ensuring items are available.
- Monitor students referred for illness or disciplinary action for the purpose of ensuring student welfare and maintaining a secure office environment.
- Prepare standardized documents (e.g., letters and memos, calendars, bulletins) for the purpose of communicating information to other parties.
- Perform other related duties as assigned for the purpose of ensuring the efficient functioning of the work unit.
