The Dental Treatment Coordinator serves as a vital member of our dental team, acting as the primary liaison between patients and the dental practice. This role is responsible for guiding patients through their treatment plans, ensuring a seamless and positive experience while helping them understand procedures, costs, and payment options. The Treatment Coordinator plays a key role in supporting practice growth and patient satisfaction.
The Days we are looking for are Monday through Friday 7-2.
1. Patient Interaction:
- Communicate with patients regarding their treatment plans, answering any questions and addressing concerns.
- Explain dental procedures and associated costs in a clear, compassionate, and professional manner.
- Serve as the primary point of contact for patients requiring detailed treatment planning and follow-up.
2. Treatment Coordination:
- Collaborate with the dental team to review patient charts and ensure the accuracy of recommended treatment plans.
- Schedule appointments and coordinate treatment timelines for patients.
- Ensure patients fully understand their treatment options and associated timelines.
3. Financial Discussions:
- Provide cost estimates for treatment plans and explain available payment and financing options.
- Work with patients to create customized financial plans that align with their budget.
- Verify insurance benefits and assist with pre-authorizations and claims processing.
4. Administrative Duties:
- Maintain accurate and up-to-date patient records in the practice management system.
- Follow up with patients on treatment acceptance, pending decisions, and unscheduled procedures.
- Track treatment plan acceptance rates and prepare reports for practice management.
5. Customer Service Excellence:
- Deliver exceptional customer service by building relationships with patients and ensuring their comfort throughout the treatment planning process.
- Handle patient complaints or concerns professionally, escalating to management if necessary.
- High school diploma or equivalent (associate degree or relevant certifications preferred).
- Previous experience in dental or healthcare coordination, front office administration, or a similar role.
- Strong knowledge of dental terminology, procedures, and insurance processes.
- Proficiency in dental practice management software (e.g., Dentrix, Eagle Soft, or Open Dental). We use Open Dental.
- Excellent interpersonal and communication skills, with the ability to build rapport with patients.
- Strong organizational and multitasking abilities, with attention to detail.
- Problem‑solving skills and a proactive attitude toward assisting patients.
