Job SummaryThis position is responsible for providing administrative support for the operations of the Division of Student Engagement & Success.
Responsibilities- Provides administrative support for division budgeting functions. (40%)
- Reviews individual staff budgets with supervisor.
- Runs, processes, and distributes departmental and student activities budgets.
- Assists with the management of staff budgets.
- Maintains confidential budget and financial records.
- Provides administrative support for a variety of division operations. (50%)
- Answers telephone calls; provides information and assistance; refers to appropriate personnel.
- Supervises student employees and maintains front desk operations for Student Engagement and Residential Life.
- Makes appointments.
- Serves as main Reservation contact and coordinator for all SES spaces and events.
- Makes staff travel arrangements.
- Manages division files, including personnel files.
- Makes arrangements for meetings and conferences, including gathering and compiling data and contacting participants.
- Coordinates mass and other mail‑outs.
- Collects and disseminates staff meeting minutes.
- Notifies individuals of meetings with the Vice President and Director of Residential and Campus Life.
- Assists in updating student worker reference guide.
- Prepares a variety of regular and special reports.
- Directs the maintenance of office equipment.
- Performs a variety of related duties. (10%)
- Associate’s degree required.
- More than two years of related experience required.
- Knowledge of modern office practices and procedures.
- Knowledge of university and departmental policies and procedures.
- Knowledge of business English, spelling, punctuation and arithmetic.
- Knowledge of computers and job-related software programs.
- Skill in prioritizing and organizing work.
- Skill in the management of files and records.
- Skill in the use of such office equipment as a computer, scanner, fax machine, and copier.
- Skill in oral and written communication.
