Job Summary

This position is responsible for providing administrative support to the Academic Dean.

Responsibilities

Provides administrative support for office operations. (40%)

* Answers telephone and greets visitors; provides information and assistance.

* Prepares a variety of correspondence and budget reports.

* Manage 2 copiers and report counts as requested through email

* Schedules appointments.

* Makes travel arrangements.

* Responds to request for information.

* Prepares and distributes information to faculty and staff.

* Picks up and sends out mail.

* Updates calendars.

* Prepares purchase orders and processes bill payments.

* Maintains office supply inventory; makes purchases as needed.

Coordinates and attends meetings and special events. (10%)

* Make arrangements for meetings and conferences; assists in preparing agenda, gathering and compiling data, and contacting participants.

* Attends meetings and takes minutes.

Provides support for academic functions. (40%)

* Enters class schedules into Banner; make adjustments as needed. Banner experience preferred.

* Assigns classrooms for each semester.

* Enter overload hours

* Register students as requested

* Prepare Part-time Faculty Request forms.

Performs a variety of related duties. (10%)

* Manage Poster Printer and scheduling

* Order supplies as needed

Required Qualifications

* Associates degree required; extensive experience may serve in lieu of degree.

* More than three years of related experience required.

Proposed Salary

($21.43/hr at approximately $44,580 per year)

* Knowledge of modern office practices and procedures.

* Knowledge of university and departmental policies and procedures.

* Knowledge of business English, spelling, punctuation and arithmetic.

* Knowledge of computers and job-related software programs.

* Skill in prioritizing and organizing work.

* Skill in the management of files and records.

* Skill in the use of such office equipment as a computer, scanner, and copier.

* Skill in oral and written communication.
