Role DescriptionThe Office Manager is a full-time, on-site role based in Ames, Iowa. This role is responsible for overseeing day-to-day office operations, including managing office administration processes, maintaining office equipment and supplies, and coordinating schedules, meetings, and documentation. The Office Manager will serve as a primary point of contact for visitors, clients, and vendors, providing professional customer service and ensuring a welcoming and efficient office environment.
Daily tasks include supporting leadership and project teams with administrative assistance, organizing records and files, handling incoming calls and correspondence, and helping prepare reports and presentations. The role also involves identifying opportunities to improve office procedures, supporting compliance with internal policies, and contributing to a collaborative and organized workplace. Pay is dependent on qualifications and willingness to learn.
- Strong Communication and Customer Service skills to interact effectively with clients, vendors, and team members.
- Experience in Office Administration and Administrative Assistance, including scheduling, documentation, and record management.
- Ability to manage and maintain Office Equipment and office supplies, ensuring a functional and efficient workspace.
- Proficiency with common office software (e.g., Microsoft Office or similar productivity tools) and basic digital file management.
- Excellent organizational skills, attention to detail, and the ability to prioritize multiple tasks in a fast-paced environment.
- Demonstrated reliability, discretion with confidential information, and a proactive approach to problem-solving.
- Prior experience in a professional services or design/architecture environment is beneficial.
- High school diploma or equivalent required; post-secondary education in business, administration, or related field is a plus.
