Position SummaryThe Accounting Manager is a critical member of the UWSC team, supporting the organization’s financial health that makes our community impact possible. This role is responsible for the day-to-day management of the organization’s accounting and finance functions – including accounts payable, accounts receivable, payroll, budgeting, financial reporting, and compliance – and serves as a trusted partner to the President & CEO, Board Treasurer, and Finance Committee.
This role partners closely with the Resource Development team on donor and philanthropic financial operations. This role brings both technical expertise and a collaborative spirit to a mission-driven team.
In this role, you will take ownership of the following key areas:
a.Maintain accurate and up-to-date financial records, including the UWSC organizational budget; granting and allocations programs; endowments; and awarded grants.
b.Ensure compliance with accounting principles and standards.
c.Implement and oversee internal controls for financial transactions.
2.Budgeting & Financial Reportinga.In partnership with the President & CEO, develop and manage annual organizational budgets.
b.Monitor budget variances and provide regular reports to the President & CEO and Board Treasurer.
c.Prepare and present monthly, quarterly, and annual financial statements to the UWSC Finance Committee and Board of Directors.
d.Lead the monthly close process, including reviewing and posting journal entries, ensuring all transactions are recorded and accounts reconciled within established timelines, and preparing a month-end financial summary for the President & CEO and Board Treasurer.
e.Prepare and report necessary financial reports (grant spenddown and other related) to local, state, and federal agencies.
3.Accounts & Cash Flow Managementa.Oversee and implement accounts payable and receivable processes.
b.Reconcile bank statements and financial accounts.
c.Manage cash flow and optimize working capital.
a.Process and record incoming donations; prepare designation reports in partnership with the Resource Development team.
b.Ensure proper allocation of restricted and unrestricted funds.
c.Generate donation receipts and acknowledgments.
d.Partner with the Resource Development team to ensure aligned donation tracking between Quick Books and Blackbaud Raiser’s Edge (donor management platform).
5.Compliance & Accountabilitya.Coordinate with external auditors for annual audits; prepare necessary documentation.
b.Implement recommendations from audit findings.
c.Ensure timely filing of tax returns other required financial reports; implement annual donor tax letter process in partnership with Resource Development team.
a.Maintain and optimize financial management software systems.
b.Ensure data integrity and security of financial information.
7.Personnel & Payroll Administrationa.Manage employee payroll records and coordinate with the external payroll processor to ensure accurate and timely processing of payroll, tax filings, and benefit with holdings.
b.Research and review benefit options (insurance and retirement) as needed and provide accurate information for Workers' Compensation audits and Form 5500 pension plan reporting.
