Job Summary

Under the supervision of the Regional Director, the Assistant Property Manager (APM) is responsible for assisting in all aspects of day-to-day operations of a residential and commercial portfolio and provides administrative support for the management company. The major areas of responsibility include assisting the Regional Director in maintaining the physical assets and maximizing the financial returns in accordance with the owner’s objectives.

The APM is responsible for assisting the management department in the overall operations of the property.

Requirements
  • Excellent communication skills demonstrated in both writing and conversation.
  • Demonstrated ability to handle multiple projects and details simultaneously with varying deadlines.
  • Acute attention to detail and accuracy with a high standard of excellence.
  • Experience in decision making and overseeing day-to-day operations.
  • Proficiency in Microsoft Office programs and an ability to learn property accounting and management software.
  • A current valid driver’s license and personal automobile insurance.
  • 1-3 years of residential and/or commercial real estate management, preferably on retail property assets.
  • High school diploma or equivalent is required, with some college preferred.
General Responsibilities
  • Communicate with Regional Director weekly to discuss financial and operational updates as related to property performance.
  • Prioritize assignments and effectively solve emergencies as needed.
  • Assist in the collection of rent from tenants.
  • Assume on-site accountability for the engagement of third-party suppliers and contractors.
  • Prepare and coordinate the construction process for tenant improvement projects.
  • Inspect the assigned portfolio in accordance with departmental procedure, identify and any physical deficiencies, and suggest corrective action within budgeted guidelines, established property standards and ownership approval.
  • Monitor and maintain operating expenses within budgeted allowances.
  • Prepare proposals and agreements with contractors for the upkeep of assigned properties.
  • Review, code, and approve invoices.
  • Under the supervision of the Regional Director and accounting staff, prepare annual operating budgets.
  • Review monthly operating statements and draft preliminary variance reports to be sent to Regional Director for final review and submission to the clients.
  • Interface with ownership, property tenants, and vendors to insure the effective operation of assigned properties.
