Key Responsibilities
  • SALES & MARKETING SUPPORT (50%)
    • Sales Operations – Assist with contract management and weekly invoice price checks
    • Maintain accurate customer and pricing data
    • Support tender documentation for public and private clients
    • Marketing Coordination – Process budget requests and marketing-related invoices for sponsor ships, congresses and events
    • Order and track promotional materials
    • Coordinate with external distribution partners (e.g., Pantos)
    • Manage stock of marketing assets
    • Customer Support – Respond to customer inquiries via email and phone
    • Coordinate with internal teams to resolve issues
    • Prepare onboarding documentation for new clients
  • FINANCE & ADMINISTRATION (50%)
    • Finance & Procurement – Follow up on vendor invoices, purchase orders, and corporate card settlements
    • Support quarterly SOX sample testing
    • Weekly cash collection reminders
    • Register suppliers and assist with procurement documentation
    • Office Administration – Order office and kitchen supplies
    • Manage incoming/outgoing mail and deliveries
    • Coordinate minor repairs and maintain office organization
    • Support general day-to-day office tasks & perform ad-hoc administrative tasks as required
    • Inventory & Reporting – Perform monthly inventory reconciliation in Excel
    • Maintain inventory documentation and support S&OP meetings
Qualification & Skills
  • MBO Level 4/HBO degree in Business Administration or Finance
  • Minimum 2 years of experience in an administrative, finance, or operations role
  • Proficient in MS Office (especially Excel)
  • Fluent in Dutch & English
  • Flexible, detail oriented, reliable, and hands‑on, willing to get involved where needed
