Position: Office Manager with Board support

In this role you will manage the Amsterdam office, assist the Netherland based Board members (calendar, travel, signatories), drive the social agenda of the Amsterdam office, take on administrative tasks (prepare Board papers, service quality monitoring) and support the Distribution team.

How you'll spend your time:

General Office ManagementReporting into the Executive Director (Netherlands Office Head)

  • Upkeep of the kitchen: dishwasher, coffee machine refill and maintenance/cleaning, ordering of groceries, fruit, etc.
  • Collect/distribute, send post and couriers.
  • Maintenance of office plants and flower delivery for front desk.
  • Order office supplies/stationery, printers upkeep, ordering paper, etc.
  • Register visitors with the building reception and arrange parking.
  • Booking meeting rooms and upkeep.
  • Monitor the front door, and open with device from desk.
  • Ordering refreshments and lunches for meetings or staff events.
  • Liaise with cleaning company and order cleaning supplies.
  • Order taxis for Netherlands office or visitors from other offices.
  • First point of contact for new starters at Columbia Threadneedle Investments in the Netherlands: ensuring IT equipment is ready, scheduling induction meetings, and introduction to the Netherlands Office.

Netherlands Board supportReporting into the Executive Director (Netherlands Office Head)

  • Arranging all logistics of the Netherlands Quarterly Board & AFM (regulatory) meetings, monthly (daily Board committee) Board meetings (minuting, schedule, document collation etc).
  • Assisting the Executive Director with back-office requirements such as end of year accounts process with the auditors, the Quarterly Shared Services process, the Quarterly Board meeting reports as well as documents, travel and meetings in relation to his activities in Luxembourg.
  • Invoice management: coding, approving and liaising with accounts for all invoices for The Netherlands, Switzerland & Austria.
  • Expense management for the office credit card.
  • Manage the agendas of Netherlands Board members and assist with the agendas of Distribution when needed.
  • Booking flights, hotels, cars, restaurants, meeting rooms for any travels.
  • Arranging meetings, lunches, parking for client visits.
  • Expense management (Concur) for Netherlands Board, Austria & Switzerland Country heads.
  • Assistance with anything related to the Annual Country Heads event and Sales Conference (booking flights, team activities, hotels etc).
  • Organising all staff events such as monthly lunches, summer party, Christmas party, quarterly Town Halls etc.

To be successful in this role you will have:

  • Perseverance, accuracy and self motivation.
  • Adherence to confidentiality at all times.
  • At least semi fluent in both English and Dutch.
  • People skills and the ability to liaise with clients and directors/employees from other countries.
  • Prior relevant experience in a similar role.
  • Comfortable with acting as the first point of contact for clients and visitors, and the ability to act as a good representative for Columbia Threadneedle Investments.
