We are seeking a dependable, patient-focused Phone Scheduler to join our front office team. This position serves as one of the primary points of contact for our patients and plays a vital role in ensuring timely communication, efficient scheduling, and a positive patient experience.
Position SummaryThe Phone Scheduler is responsible for managing a high volume of incoming calls, scheduling patient appointments and procedures, coordinating patient communication, and assisting with administrative tasks within the electronic health record (EHR). The ideal candidate is organized, personable, detail-oriented, and thrives in a fast-paced medical office environment. Position includes cross training for Receptionist/Front Office Support.
Responsibilities- Answer high-volume incoming phone calls promptly, professionally, and courteously.
- Schedule, reschedule, and cancel patient appointments while following provider scheduling guidelines.
- Accurately verify and update patient demographic and insurance information.
- Communicate with patients through telephone and the patient portal regarding appointments, referrals, and general inquiries.
- Complete EHR tasks, including appointment documentation, scheduling follow-ups, and routing messages to the appropriate staff.
- Direct calls appropriately to clinical staff, surgery scheduling, medical records, referrals, prior authorization, billing, or other departments as needed.
- Provide patients with preparation instructions and general scheduling information as directed by office protocols.
- Document patient interactions accurately within the EHR.
- Maintain patient confidentiality and comply with all HIPAA regulations and company policies.
- Deliver exceptional customer service while maintaining a positive and professional demeanor.
- Assist with other administrative duties as assigned.
- Must be able to speak English and Spanish fluently.
- High school diploma or equivalent required.
- Minimum one (1) year of experience in a medical office, healthcare call center, or similar customer service environment preferred.
- Experience using electronic health record (EHR) systems; experience with DrChrono is preferred.
- Excellent verbal communication, interpersonal, and active listening skills.
- Strong organizational skills with exceptional attention to detail.
- Ability to multitask and remain efficient in a fast-paced, high-volume environment.
- Basic computer proficiency, including Microsoft Office and standard office software.
- Bilingual (English/Spanish) is preferred but not required.
- Reliable transportation to the Orange, California office.
- $18.00 - $20.00 per hour, based on experience.
