We are looking for a customer service representative who will be the first line of contact and help assist our clients. The ideal candidate will have experience in project coordination or office management, possess excellent communication skills, and be proficient with technology. This role is essential for maintaining order and efficiency within the office environment.
Key Responsibilities & Duties- Greet walk-in customers and manage incoming office calls.
- Maintain client newsletters and communicate office closures.
- Schedule and reschedule client appointments with staff.
- Assist with scanning, faxing, and setting up client projects alongside the Operations Manager.
- Reach out to clients waiting on information, liaising with other departments as needed.
- Organize client files and manage the maintenance of pick-up files.
- Manage courier systems and handle office mail distribution.
- Assist with client Christmas gifts and other seasonal or special occasion gifting.
- Coordinate employee gifts, including birthdays, awards, and office trivia events.
- Organize and maintain communal office areas, ensuring a clean and orderly environment.
- Track and manage office and building supply inventories.
- Maintain an organized office storage area.
- Perform other duties as assigned.
- At least 1 year of office or customer service experience preferred.
- Ability to quickly learn new software and tools.
- Excellent written and verbal communication skills, including the ability to write professional emails.
- Strong customer service skills with a friendly and approachable demeanor.
