THIS IS A TEMPORARY EMPLOYMENT OPPORTUNITY

Position Summary:

The Administrative Assistant provides onsite administrative support directly to the client and program leadership team. This role is responsible for ensuring efficient day‑to‑day operations through professional coordination, documentation management, scheduling support, and general administrative assistance. The Administrative Assistant will report to the Project Manager.

Job Duties and

Responsibilities include:
  • Provide onsite administrative support to client representatives and program leadership.
  • Maintain a professional presence within the client’s office environment.
  • Coordinate meetings, conference calls, and virtual meetings as directed.
  • Prepare meeting materials, and follow‑up documentation.
  • Prepare, format, and proofread correspondence, reports, and presentations.
  • Maintain organized electronic and physical filing systems.
  • Develop, enter and maintain data in tracking systems or databases.
  • Gather and analyze information.
  • Assist with time tracking.
  • Perform financial audits or reviews, process bills/vouchers, reimbursement requests, and receivables as needed.
  • Produce briefing and training materials.
  • Monitor and support travel coordination and travel documentation.
  • Perform other administrative duties as assigned.
  • Complete all required training.
Required Skills and Competencies
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Ability to communicate clearly and appropriately over the phone and in writing.
  • Must have exceptional organizational and time management skills.
  • Ability to learn new computer applications including video conferencing on various platforms.
Required

Education and Experience:
  • Must have a high school diploma or equivalent;
    Associate degree preferred.
  • Minimum of one (1) year of administrative experience.
  • Experience supporting government, disaster recovery, or grant‑funded program setting is preferred.
