The Administration Manager is responsible for overseeing all administrative, logistical, and office management functions required to support the Novus Alaska U.S.

-based project teams. The role ensures efficient daily operations, compliance with corporate procedures, effective stakeholder support, high-quality administrative services, HR administration and finance administration across the project organization.

The ideal candidate is a disciplined, self motivated, organized and proactive administrative leader with experience supporting large capital projects, strong problem-solving skills, and a service-oriented mindset.

Key Responsibilities
  • Develop and implement administrative procedures, communication protocols, and service standards for the project – HR, Finance, Documentation, Administration – together with group support
  • Oversee administrative budgeting, cost tracking, reporting, and ensure alignment with corporate policies and the PMC–Owner requirements.
  • Lead all finance/HR/general administrative, office management, and project support functions, including facilities, travel, logistics, and document handling
  • Oversee HR onboarding, workspace planning, equipment allocation, and general support for project personnel.
  • Manage vendor and service provider coordination, including office leases, supplies, utilities, and administrative contracts.
  • Support meeting management, event coordination, senior management logistics, and corporate compliance activities.
Qualifications & Experience
  • Preferred:
    Bachelor’s degree in Business Administration, Finance/accounting, or related field.
  • 5-10 years’ experience in administration/finance/office management, or corporate services, preferably supporting major energy, construction, or engineering projects.
  • Strong understanding of administrative systems, project support processes, and corporate compliance requirements.
  • Proven ability to manage vendors, coordinate multi-functional teams, and maintain efficient project office environments.
  • Excellent organizational, communication, people management, and problem-solving skills.
  • Experience working in PMC, EPC, or multinational project environments preferred.
