Position: Administrative Assistant (H)

TDX Holdings is recruiting for the position of Administrative Assistant. This is a regular, full‑time position located in Anchorage, AK. This position reports to the Chief Executive Officer (CEO).

Job Summary

The Administrative Assistant provides high‑level administrative and operational support to the CEO and various departments within the organization, ensuring the smooth coordination of daily activities, projects, and strategic initiatives. This position plays a key role in enhancing operational efficiency across the company by assisting with scheduling, document management, communication, and organizational logistics. The assistant will work closely with department leads and other key stakeholders to help facilitate executive‑level decision‑making and corporate functions.

Duties And Responsibilities
  • Executive and Departmental Support:
    • Provide administrative assistance to the CEO across all organizational departments, ensuring that executive priorities and interdepartmental needs are met efficiently.
    • Manage schedules and appointments, coordinating meetings and travel arrangements.
    • Assist with drafting and editing communication materials (emails, reports, presentations, and meeting agendas) for internal and external audiences.
    • Handle incoming calls, messages, and correspondence, ensuring timely responses and prioritization of critical matters.
  • Document and Information Management:
    • Organize and maintain electronic and physical files, ensuring easy access to important documents and information.
    • Assist in preparing reports, presentations, and financial documents to aid in decision‑making and presentations to internal teams and the Board of Directors.
  • Event Coordination:
    • Help organize and coordinate company‑wide events, including shareholder meetings, board meetings, and team‑building activities.
    • Oversee the logistics for meetings, from venue arrangements to catering and technology setup.
  • Cross‑Departmental Operations Support:
    • Assist with the organization of various departmental needs as they arise, including tracking budgets, supplies, and ensuring projects stay on schedule.
    • Support the CEO and department managers in ensuring seamless communication and operational effectiveness across divisions.
    • Assist in managing key organizational initiatives as directed by the CEO.
  • General Administrative Tasks:
    • Perform research, handle project coordination, and manage ad‑hoc administrative tasks.
    • Proactively anticipate the needs of the executive office and assist as needed to ensure the efficiency of the corporation.
    • Provide general administrative support to various departments as required, ensuring alignment with the organization’s strategic objectives.
Minimum Requirements
  • Associate’s degree in business administration, management, or a related field required;
    Bachelor’s degree preferred.
  • Five (5) years of experience supporting executive leadership in an administrative or executive assistant capacity; or ten (10) years of progressively responsible administrative experience directly supporting executive management or C‑Suite leadership.
  • Demonstrated ability to manage multiple priorities in a fast‑paced executive environment.
  • Strong organizational, time management, and problem‑solving skills.
  • Advanced proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office management systems.
  • Excellent written and verbal communication skills.
  • Ability to handle highly confidential and sensitive information with professionalism and discretion.
Preferred Qualifications
  • Experience supporting senior executives in a corporate or government contracting environment.
  • Experience coordinating board meetings, shareholder meetings, or executive leadership meetings.
  • Familiarity with Alaska Native corporations or organizations serving shareholder communities.
