Aurora Family Dentistry is seeking a professional, dependable, and motivated Full-Time Front Desk Patient Coordinator to join our fast-paced and patient-focused dental office.

We are looking for a strong team player who thrives in a busy environment, communicates effectively, and can confidently multitask while maintaining a positive and professional attitude. As one of the first points of contact for our patients, the Front Desk Patient Coordinator plays a vital role in creating a welcoming and efficient experience while supporting the overall success of the practice.

Position Summary

The Front Desk Patient Coordinator is responsible for managing daily patient scheduling and front office operations while delivering exceptional customer service. Responsibilities include greeting patients, coordinating appointments, managing communications, discussing treatment estimates and financial arrangements, processing payments, and supporting administrative office functions.

This role also assists with dental lab case coordination, insurance-related duties, and treatment planning support. The ideal candidate is organized, detail-oriented, adaptable, and capable of managing multiple priorities in a fast-paced environment.

Essential Responsibilities

Greet patients and visitors in a professional, friendly, and welcoming manner while efficiently and accurately managing patient check-in and check-out processes.

Manage all patient communications by professionally answering incoming phone calls and responding to inquiries through phone, text messaging, email, and other office communication platforms.

Schedule, confirm, and coordinate patient appointments while maintaining an efficient provider schedule.

Maintain accurate and up-to-date patient records, documentation, forms, and demographic information within the practice management software.

Review treatment plans with patients and provide clear guidance regarding treatment estimates, insurance benefits, anticipated costs, payment options, and financial responsibilities to support informed treatment decisions.

Send prescriptions and assist with administrative patient care coordination.

Coordinate and track incoming and outgoing laboratory cases, ensuring all cases are properly documented, received, and delivered according to treatment schedules.

Verify patient insurance eligibility and benefits (after training), accurately enter and maintain insurance breakdowns, and assist patients in understanding their coverage and estimated out-of-pocket expenses.

Maintain strict compliance with HIPAA regulations, OSHA standards, and all office policies and procedures.

Protect patient confidentiality and handle sensitive information with professionalism and discretion.

Work effectively in a fast-paced environment by managing multiple priorities and deadlines while collaborating with front office and clinical team members to support efficient operations and exceptional patient care; demonstrate reliability, adaptability, accountability, a willingness to learn, and maintain consistent attendance and adherence to assigned work schedules

Perform additional duties and responsibilities as assigned.

Qualifications

High School Diploma or GED required.

No prior dental experience required; willing to train the right candidate

Previous dental or medical front office experience preferred.

Minimum one (1) year of customer service experience required.

Dental receptionist experience preferred.

Proficiency in Dentrix or similar dental practice management software preferred.

Strong computer and technology skills required.

Excellent communication and interpersonal skills.

Strong organizational skills and attention to detail.

Ability to multitask, prioritize responsibilities, and remain organized in a busy office environment.

Positive attitude and ability to work collaboratively as part of a team.

Eagerness to learn, grow, and take on new responsibilities.

Compensation and Benefits:

Hourly pay range: $20–$25 per hour, depending on experience (DOE)
