Job Description The Front Office Coordinator’s primary role is to create a “wow experience” for patients and maintain a pleasant environment. The coordinator ensures high levels of customer service, holds patients accountable to the scheduled Plan of Care (POC), and achieves utilization goals. Responsibilities include scheduling appointments, tracking collections, monitoring metrics, and supporting patient buy‑in by explaining financial commitments.
Duties and Responsibilities- Assisting with new employee training
- You are the face and voice of the company
- Maintaining a clean and professional image
- Providing exceptional customer service
- Answering phones and returning voicemails promptly
- Attending the two‑way texting feature for easier communication with patients
- Scheduling appointments and full Plan of Care (POC)
- Managing visit type rules
- Applying insurance restrictions
- Handling therapist specialties and determining appropriate visit types
- Assisting in auth visit tracking and timely notification to the Auth Specialist
- Directing and signing for mail/packages
- Clearing out and monitoring the fax inbox
- Managing collections, including obtaining 90%+ collections
- Informing patients of collection expectations, and ensuring accuracy in CC, check, and cash collections
- Handling co‑pays, co‑insurance, and deductibles
- Enforcing the strict cancellation/rescheduling policy
- Using office software (email tools, spreadsheets, and databases)
- Timely opening and/or closing of the clinic (closing shift ends at 6pm)
- Clearing provider schedules for planned and unplanned outages or PTO
- Attending ongoing trainings and contributing improvement ideas
- Emphasizing HIPAA compliance
- Utilizing Microsoft TEAMS and Outlook for company correspondence
- Tracking metrics and keeping Excel trackers up to date
- Maintaining a pulse on utilization and arrival rate
- Assisting the NPCs with New Patient Evaluation scheduling
- Understanding common patient objections and addressing them on the spot
- General understanding of PT and explaining its value to patients or interested parties
- Multi‑tasking
- Well‑organized with a customer‑oriented approach
- Exquisite communication and people skills
- Excellent time management and problem‑solving skills
- Typing 45 words per minute using word‑processing software and learning other programs including Microsoft Excel, e‑mail, and the Internet
- Flexibly responding to changing demands
- Organizing and prioritizing tasks effectively
- Communicating clearly
- Establishing and maintaining effective working relationships with patients, team members, and the public
