RECEPTIONIST The receptionist is responsible for facilitating the flow of the organization’s information and providing a positive, responsive environment for receiving internal and external customers via telephone and face‑to‑face. The receptionist operates a multi‑line switchboard to relay incoming, outgoing, and inter‑office calls to their appropriate destination, greets and screens all visitors before allowing them to proceed throughout the hospital, acts as an information center to all visitors, and provides clerical support for hospital personnel.
Responsibilities- Answers and responds to incoming telephone calls promptly and in a pleasant, courteous, and clear manner.
- Carefully screens calls before transferring them to the units and always requests the patient’s confidentiality number before transferring.
- Uses pages appropriately over the intercom system, speaking clearly and in a moderate tone; limits pages to emergencies, caller requests, or authorized announcements.
- Screens all visitors before allowing them to proceed past the hospital lobby, ensuring all visitors check in and out.
- Supports the hospital’s safety and security programs and complies with policies and procedures.
- Remains calm and efficient in crisis situations.
- Works closely with the Intake department and follows procedures when prospective patients arrive.
- Keeps the hospital lobby areas clean and tidy at all times.
- Signs for and receives incoming deliveries and notifies the receiver.
- Greets and responds to applicants for employment and notifies them how to apply online.
- Reads the communication log daily for new and recent communication.
- Performs other duties as assigned.
EDUCATION/
EXPERIENCE:
High School Degree or equivalent. Two (2) years’ experience operating a multi‑line switchboard preferred.
- Must be able to perform assignments with minimal supervision.
- Must be able to work successfully under highly stressful conditions.
- Must be able to make sound, independent judgments based on scientific and/or ethical principles.
- Must be capable of adapting to varying workloads and work assignments on a constant basis.
- Must have effective comprehensive reading skills, strong communication skills, written and verbal.
- Must have a working knowledge of computers.
- Must complete new hire requirements such as State of Alaska Background Check and Drug Testing.
- Must demonstrate special training, knowledge, and skills specific to the reception desk within the first three (3) months of employment.
- Must complete all mandatory in‑services annually.
- Must be tested for Tuberculosis with a PPD skin test or chest X‑ray upon hire; PPD skin test required annually or chest X‑ray tri‑annually thereafter.
- Must be at least 21 years old.
